Administrative Project Coordinator - Vice Provost for Research

Requirements

The Administrative Project Coordinator based in the Office of the Provost , will provide direct administrative support to the Vice Provost for Research and to the Deputy to the Provost, and will complete additional tasks as assigned. The individual must be organized, efficient, and able to coordinate multiple projects simultaneously.  S/he must be highly motivated, results-oriented, and pro-active in providing administrative, financial, and research support for the Office. The position requires superior organizational skills, a capacity to anticipate needs and to pre-emptively address them, and the ability to work both independently and collaboratively with colleagues across the university. Duties include, but are not limited to:

Prepare briefings, compose PowerPoint presentations, edit websites, and send broadcast University mailings as needed.

Schedule, organize and manage meetings, projects, and events, executing related administrative functions and standing in for the Special Assistant to the Provost in his/her absence. 

Work in a team-oriented environment with the goal of ensuring the success of the Provost’s Office business and overall University initiatives - the work performed will be integral to the effective functioning of the Provost’s Office and its ability to implement projects, initiatives, and normal administrative duties throughout Main Campus.  

Work Interactions

The position will administratively report to the Vice Provost for Research, but will functionally report jointly to the Vice Provost for Research and the Deputy to the Provost, spending time working in each area.  The incumbent will interact closely with senior leaders in the Provost’s Office, and high-level stakeholders internally and externally including deans, faculty members, funding agencies, and others. 

Requirements and Qualifications

The successful candidate will possess the following qualifications:

Superior written and verbal communication skills

Outstanding organizational skills

Exceptional reliability and work ethic

Advanced Word, Excel PowerPoint, and web editing skills

A familiarity with GMS an advantage

A minimum of 1-3 years’ practical experience working in an administrative role preferable

Bachelor’s degree required. Advanced degree preferred

Experience working with senior leaders in a higher education setting preferable

Experience in managing multiple projects for multiple principals simultaneously

Experience in working with Confidential Information Budgets/ Organization structures/ HR –related issues

High level of professionalism

Experience in working on research administration issues and research grants a positive attribute

Experience working with funding agencies, including federal agencies, private foundations, and corporate sponsors, a positive attribute

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$20.16 - $31.30

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
