Administrative Project Specialist

Provide comprehensive administrative a project management and support to the Office of Hope, Unity and Belonging (HUB). This includes but is not limited to advising student organizations, budget management, managing schedules and calendars, making travel arrangements, assisting in the preparation of presentations, maintaining lists of key contacts, screening and handling telephone communications, greeting and directing visitors, maintaining webpage content, and addressing problems and inquiries as appropriate.

Primary position responsibilities include:

Serve as a primary point of direct administrative contact and liaison with other stakeholders for special projects, affinity student organizations, individuals, and external institutions and agencies on a range of issues.Oversee special projects from conception to completion, ensuring alignment with organizational goals and timelines.Provide administrative support, advisory support and communications for meetings, including preparation of materials, correspondence announcing meetings, arranging meeting facilities, and preparing agendas.Assist the HUB Staff by facilitating project planning, tracking progress, and ensuring the timely completion of deliverables.Support efforts to organize meetings, conferences, and other special events as needed.Conduct research and compile data for reports, presentations, and strategic planning.Implement and monitor project schedules, identifying and resolving issues to ensure timely completion.The above statements describe the job’s essential responsibilities and requirements.  They are not an exhaustive list of the duties that may be assigned to job incumbents.
