Administrative Services Manager -Bilingual Mandarin

Essential Functions:

Leadership and Management:

• Lead and manage the internal service department, ensuring the efficient and effective delivery of all administrative support services.

• Supervise, mentor, and develop a team of administrative professionals, fostering a collaborative and results-driven work environment.

• Establish and implement departmental goals and strategies that align with the company’s overall objectives.

 

Daily Administrative Operations:

• Oversee the management of office operations.

• Supervise the operation of front desk activities, ensuring that processes and standards are upheld without direct involvement in day-to-day tasks.

• Provide oversight for the scheduling and coordination of internal and external meetings according to company standards.

• Oversee the coordination of interviews, ensuring that the process is handled efficiently by the HR and administrative teams.

• Supervise the management of travel arrangements, ensuring adherence to company policies and that the administrative team executes these responsibilities effectively.

• Act as the primary liaison between the internal services department and other business units, including HR, finance, and operations, ensuring that administrative services are aligned with broader company objectives.

• Support cross-functional projects and initiatives, ensuring that all administrative aspects are managed effectively.

• Facilitate communication between departments to streamline processes and enhance operational efficiency.

Expatriate Relocation and International Travel Support:

• Oversee the expatriate relocation process, ensuring that housing, transportation, and logistical needs for employees relocating from China to the U.S. are met by the relevant teams and external vendors.

• Ensure that both expatriates relocating to the U.S. and U.S. employees traveling to China comply with visa, immigration, and local regulations. 

• Work closely with HR, legal teams, and external immigration consultants to manage these processes efficiently.

• Supervise the development and implementation of cultural integration programs for expatriates and U.S. employees traveling to China, ensuring that they receive the necessary support. 

• Provide oversight to ensure that both expatriates in the U.S. and U.S. employees in China receive continuous support throughout their assignments or business trips.

• Assist with the planning and execution of repatriation processes for expatriates and ensure compliance with local regulations for U.S. employees returning from China.

Policy Development and Implementation:

• Collaborate with senior leadership, HR, and other departments to develop, refine, and implement administrative and travel policies, ensuring they meet the needs of the organization and comply with legal requirements.

• Lead the rollout of new policies, providing training and support to ensure consistent application across the company.

• Regularly review and update policies to reflect changes in business strategy, regulatory environments, or industry best practices.

Flexibility and Travel:

• Maintain a flexible work schedule to accommodate the needs of the organization, including participation in meetings, events, and projects that may occur outside regular business hours.

• Be willing to travel domestically or internationally as required to support company operations and ensure the successful execution of administrative and expatriate-related tasks.
