Administrative Spec I
Job Description: Responds to routine and moderately complex questions or issues regarding policies, procedures, and processes and ensures compliance at the unit level. Coordinates particular support activities within an office or provides direct support to faculty or management staff. Oversees and facilitates community events for the division. Coordinates travel arrangements, makes reservations and processes reimbursements. Drafts correspondence and reports. Creates or maintains unit filing systems or workflows. Maintains office supply inventory, interacts with vendors, serves as unit contact for space, equipment or facility issues. Maintains subscriptions, order office supplies, ensures correct cost allocations and circulates mail. Organizes and performs all office and clerical functions including, but not limited to, setting appointments, scheduling meetings, answering the telephone, taking and transcribing meeting minutes and organizing and maintaining calendar appointments/scheduling for Division Chief and additional faculty. Ensures the scheduling in advance of adequate rooms, reservation and delivery of needed equipment and catering of food, when appropriate, for meetings and training sessions. Facilitates the coordination of regional trainings throughout the year. Assists faculty with research projects and processing of paperwork as it pertains to those projects. Develops and maintains pediatric resident schedule for developmental pediatric rotations and ensures resident completion of necessary assignments needing to be turned in to Division Chief. Builds resident schedule each month. Tracks lectures to residents and collects documentation needed for grant projects. Assists with special projects. Expected Salary:$20 to $24 per hour depending on education and experience.
Minimum Requirements:Bachelor's degree; or an equivalent combination of education and relevant experience.
Preferred Qualifications: Associate's or Bachelor's degree in a relevant discipline such as Healthcare Administration, Business or related field with five years of operational experience in an ambulatory practice setting in the same or similar specialty.
