Position Information Posting Number 20112982 Position Title Administrative Specialist FTE 1.0 Position Type Staff Department Student Engagement Position Summary Information Job Summary/Basic Function About This Role: The Administrative Coordinator at the Setzer Student Center is pivotal in ensuring the smooth operation of the administrative office. This role encompasses a wide range of responsibilities, including providing comprehensive administrative support to the professional staff, managing accounting and purchasing tasks, overseeing student staff hiring, and maintaining communal office resources. The Administrative Coordinator also serves as the front-end receptionist, ensuring efficient and welcoming interactions for all office visitors and program participants. What You’ll Do – Position Responsibilities: + Provide comprehensive administrative support to professional staff, including preparing and distributing correspondence, responding to emails, answering and screening phone calls, scheduling meetings, managing calendars, and ordering office supplies. Manage general office correspondence, reports, forms, requisitions, and meeting minutes; maintain an efficient filing system for the administrative office and affiliated groups or committees. + Support the department and student organizations by processing requests for funds, check requests, purchase requisitions, and budget transfers through Banner and Cardinal Purch. Handle accounts payable/receivable invoices for services and monitor department budgets and expenditures. + Recruit, hire, train, and supervise front desk student assistants, ensuring adherence to office procedures and protocols. + During peak times, assist with maintaining student organization and event reservation files, and provide support during the annual re-registration process for student organizations as well as to clients booking space within the building. + Process employment documents for professional staff and student employees, ensuring proper maintenance of personnel files for the department. + Serve as secretary for departmental staff meetings and designated committee meetings, preparing agendas and taking minutes. + Coordinate travel arrangements for professional and student staff, including processing travel requests, making reservations, handling travel vouchers, and setting up hotel accommodations when required. + Perform other duties, as assigned to this position on a regular or occasional basis to respond to the needs of the office. Key Competencies: + Working experience with Microsoft Office. + Great communication skills. + The ability to work autonomously. + Database Management. + Time Management. Physical Requirements: + Able to lift 25 lbs and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing and walking between buildings.
