We are seeking a highly organized and detail-oriented Administrative Specialist to join our team to assist with daily office functions, data management, and coordination of various projects.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


• Serve as the primary Point of Contract (POC) for Access Control and physical security of the Dahlgren office.
• Serve as the primary POC for IT issues to include computer set-up for new employees and troubleshooting minor issues in conjunction with corporate IT.
• Establish and maintain records related to Access Control and IT for the Dahlgren office.
• Maintain and organize office files, conduct regular file reviews, and assist with the preparation of reports. Ensure all records are up-to-date and accessible.
• Assist with administrative tasks such as preparing reports, maintaining rosters, tracking actions, and supporting projects as needed.
• Assist the corporate IT team, located outside of Dahlgren, with technology projects being performed in the Dahlgren office.
• Serve as a general point of contact for internal personnel, addressing office policies, procedures, and operational questions.
• Draft correspondence, update and maintain various internal databases. Organize and manage records, ensuring timely and accurate entry into various data systems.
• Order and maintain office supplies, track inventory levels, and coordinate repair requests for office equipment and facilities as necessary.
• Quickly respond to and resolve administrative issues or office-related challenges, ensuring minimal disruption to daily operations.
• Report any and all administrative issues to the Dahlgren Director of Operations for situational awareness and resolution, as needed.

 

REQUIRED QUALIFICATIONS:


• Strong organizational, time-management, and multitasking skills.
• Excellent written and verbal communication skills.
• Knowledgeable about the use of computer systems in business and office environments.
• Proficient with office software (e.g., Microsoft Office Suite, Google Workspace) and general office equipment.
• Ability to work both independently and collaboratively in a team environment.
• Attention to detail and the ability to manage confidential information with discretion.
• Must have a High School Diploma.
• Ability to obtain and maintain a Secret security clearance.
• Previous administrative experience is required.
• Previous HR assistant, Help Desk, or Assistant FSO experience is a plus.

 

WORKING CONDITIONS:


• Office-based role with a dynamic and collaborative work environment.
• Ability to manage multiple tasks and adjust to changing priorities as needed.
• This position is not telework eligible.
• M-F, daytime hours.
• *Must be present during core hours of 9AM – 3PM.*

 

 

ADDITIONAL QUALIFYING FACTORS:


Must have the ability to pass a satisfactory background screening, negative drug test, positive references and proof of identity and legal authorization to work in the United States and for TTI are required.
