What You Will Do
Responsibilities include, but are not limited to:
Provide administrative support to approximately 60+ diverse employees primarily located or assigned to RTX BBN Technologies, Arlington, VA office.Answer main phone line direct calls and take calls from a multipoint phone system.Serve as backup for administrative support to another location when required.Collaborate and support all other administrative teams within the RTX BBN organization when necessary.Register and greet visitors in accordance with company requirements in approved Visitor Management SystemReceive packages, enter goods receipts when required and coordinate pickups.Maintain security protocols for the front desk area.Provide all reception duties including maintaining the front lobby area and surroundings.Maintain tidy kitchens and supply areas.Ordering office, kitchen, maintenance supplies as needed and maintaining inventory log.Escort visitors when necessary.Maintain team calendars for events, vacation, and travel.Become subject matter expert for travel related business team policies and procedures as it relates to the performance of this position.Create and process trip/expense reports and vendor check reimbursements in accordance with policy.Maintain log of ongoing and outstanding travel claims ensuring they are acted upon within policy timelines.Arrange/assist with travel reservations as necessary and within corporate policy.Coordinate and collaborate on internal meetings and functions, including arranging visitors and ordering and/or setting up catered food.Arrange, schedule, and track interviews for potential new hires.Handle new employee onboarding requirements as needed.Coordinate, assist and potentially generate Export paperwork requirements as necessary, up to and including any requirements for Business Courtesies or the Raytheon Global Export Management System (RGEMS).Assist in maintaining company document repositories.Assist Facility Manager and/or Supervisor as needed for all on site requests including vendor communications and coordination of maintenance requirements.Provide support, guidance and/or drive for evolving business changes, process improvements and the like.Serve as primary or back up Government Property Coordinator for company site and backup for others as needed. This includes all system entries, bar-codes, and locations statuses. Perform internal annual Government Property inventories, perform customer driven audits, and provide regular reporting of inventory to Program teams. Also includes any dispositioning requirements on closed contracts and monthly reporting for all active contracts.Maintain conference room calendars, printers, fax machines and copy machines.Support Environmental, Health and Safety (EHS) initiatives and quarterly audits within designated areas.Coordinate and participate with other areas of the business as needed and required to foster a unified environment.Other duties as assigned.Candidates should expect that they may be required to travel to a BBN, RTX, teammate, or customer site for meetings or other business-related activities.Qualifications You Must Have:

The salary range provided is a good faith estimate representative of all experience levels.
