**POSITION DETAILS**

Reporting to the Chief of Staff, the Administrative Specialist is a member of the Dean’s Office Staff. The Administrative Specialist supports the smooth functioning of the Office and the planning and execution of events, projects and materials for the Dean and for the School.
Duties include but are not limited to:
+ Coordinating with internal and external partners in planning, arranging logistics for and staffing meetings, events and initiatives, such as the Dean’s Grand Rounds and other lecture series, and Governance Council and Steering Committee meetings.
+ Creating documents, generating reports, and preparing letters and other materials.
+ Overseeing office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
+ Maintaining an inventory of office supplies, equipment and services; ordering supplies as needed.
+ Responding to inquiries via email, phone and in-person; assists visitors.
+ Providing functional project support including collecting data for, preparing, and distributing reports and presentations using word processing, spreadsheet, and presentation software.
+ Planning, conducting, and implementing improvements to operational practices and systems aimed at enhancing organizational efficiency and effectiveness.
+ Working closely with the Confidential Executive Assistant and Chief of Staff to the Dean on special projects, such as managing of the School’s indirect cost recover account through the Research Foundation of CUNY.
+ Supervising office staff and student workers, as needed.
+ Performing related duties as assigned.
**QUALIFICATIONS**
Bachelor's Degree and four years' relevant experience required.
Preferred Qualifications:
+ At least three years of related experience in higher education administration.
+ A master’s degree.
+ Proficiency with Internet Explorer, Microsoft Office Suite (especially Excel, Word, PowerPoint and Outlook), Adobe, and Zoom or related applications.
+ Experience with SharePoint, Dropbox, and CUNYfirst.
+ Excellent oral and written communication skills.
+ Strong diplomatic, interpersonal, customer service and team-oriented skills.
+ Demonstrated ability to prioritize work, manage multiple demands and meet deadlines.
+ Ability to work occasional evenings and/or weekends.
**CUNY TITLE OVERVIEW**
Provides administrative and program support to an administrative or academic department.
- Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.
- Works with appropriate offices related to personnel recruitment, expediting search activities
- Research coordinates and organizes materials for key events such as promotion and tenure reviews.
- Supervises and trains support staff and student workers.
- Manages budget and coordinates purchasing, accounting, and payroll.
- Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.
- Performs related duties as assigned.

$82,928 - $86,645
