Administrative Specialist II, Sales (Remote)
**Overview** This role supports the Vice President of Americas Sales, in coordination with sales functions. The person in this role will be a key partner independently performing complex and diverse administrative duties and will interface with business leadership and other high-level contacts both within and outside Cordis. It will be important to work across multiple functions and take initiative to ensure the needs of the internal and external stakeholders are met. This role will also support some projects and administrative needs of other selected few leaders within the organization with possible exposure to sensitive information requiring considerable use of tact, diplomacy, discretion,confidentialityand judgment. **Responsibilities** Provide administrative support to Americas Sales leaders andteam. This role will also support some projects and administrative needs for the within the team including: + Uses problem solving techniques, tact and discretion when making travel arrangements, submitting expense reports, scheduling meetings and managing other requests for Vice President of Americas Sales. + Performs various administrative duties including Internet/Intranet research, facilities coordination, setting up new hires, ordering supplies and equipment, and managing SharePoint sites as needed + Prepares various departmental monthly reports + Provide meeting coordination and support for large and small meetings which may include WebEx, video-conferencing, conference calls, travel, location, catering, etc. Occasionally recording meeting minutes, managing agendas, and | or tracking action items as needed + Support Manager for Meetings and Congresses with Purchase order and supplier set up when appropriate for all upcoming meetings, congress’ and internal meetings. + Assist with monitoring meetings and conventions@cordis.com inbox for incoming commercial sponsorship requests. + Work closely with Meetings and Congress manager to support on SOP for commercial sponsorships, HCP and institution payments and monthly reporting to finance and compliance. + Provide support to the marketing team and finance to handle purchase order requests, new supplier setup, invoice payments for marketing. + Maintain consistent communication with Manager of Meetings and Congresses to complete necessary tasks for suppliers in a timely fashion. Achieve necessary approvals for PO’s and communicate effectively with team members on goals and objectives of requested purchase orders. + Assist with special order logo items for product launches, rep apparel, product apparel. i.e. scrubs, demo kits, new hire kits for reps. + Support product launches with Marketing managers or any necessary logo or apparel items. + Support and maintain access to Wild Impact Marketing, review and update Wild Impact Marketing user list. + Uses problem solving techniques, tact and discretion when making travel arrangements, submitting expense reports, scheduling meetings and managing other requests + Performs various administrative duties including Internet/Intranet research, facilities coordination, setting up new hires, ordering supplies and equipment, and managing SharePoint sites as needed + Prepares various departmental monthly reports + Ability to work overtime, travel minimally, and perform other duties, as needed **Qualifications** + 5+ years of administrative experience + 2+ years Microsoft Office Application Experience (Outlook, Word, Excel, SharePoint, and PowerPoint) + Bachelor’s degree preferred + Social Media Skills + Formal computer training, including working knowledge of Internet, knowledge of Microsoft Office Applications (Outlook, Word, Excel, Access, PowerPoint) and Desktop publishing. + Strong keyboarding skills, intermediate/advanced knowledge of word processing, spreadsheet, database, and graphics presentation applications. + Electronic meeting coordination (video conference, phone and live-online), and calendar planning and coordination. + Previous experience supporting senior leaders with complex calendar and travel requirements + Experience providing administrative support for multiple individuals + Event/large group meeting planning experience desired + Travel planning- travel arrangements and meeting coordination experience + Advanced interpersonal communication skills (written & verbal). + Tactful, exercises independent judgment and discretion – professional demeanor. + Telephone techniques and etiquette. + Effective task management and problem solving skills. + Organized, efficient, process oriented. + Records management. + Self-motivated, team player, strong work ethic. + Works well under pressure in a dynamic environment **PHYSICAL JOB REQUIREMENTS:** The physical demands described within the Responsibilities section of this job description are representative of those that must be met by an employee to successfully perform the essential functions of this job.
