Our Office of Financial Management (OFM) is recruiting for an Administrative Specialist III with strong communication, time management, technical skills, and an understanding of government relations. This role requires confidentiality and has a preference for those with scheduling experience and/or knowledge of eGenda, OnBase, One Solution, SharePoint, LucidChart, GovMax, Workday, Clearpoint, Smartsheet, and/or Works (Bank of America) as all of these are used regularly.The pay starts between $23.56 - $25.00, based on experience, and benefits begin within 60 days of hire! About the PositionIn this role, you will provide day-to-day high-level administrative and professional support to the Office of Financial Management (OFM) Director using independent decision-making and problem-solving skills. The ideal candidate is equipped to maturely deal with confidential issues, problem-solving, and can balance multiple priorities simultaneously. On occasion, you will review the work of others in the department to ensure accuracy and/or compliance with fiscal or HR policies and may suggest/implement process improvement accordingly. It's crucial you maintain confidentiality of correspondence, documents, discussions, meetings, and telephone calls.

Serve as the initial point of contact for the Director; responding to requests from mail, phone, email, etc., or directing requests to staff for appropriate response to outside agencies, media, other government entities, and County residents.
Prioritize and identify the urgency of public and internal inquiries; track assignments/requests to ensure they are responded to and completed in a timely manner.
Analyze situations and develop effective courses of action, exercising tact, confidentiality, and diplomacy.
Manage the Director’s calendar by using independent judgment to arrange appointments with appropriate County staff and members of the community: Coordinate executive-level internal and external meetings, internal/external appointments, conferences, and speaking engagements, and assist in the preparation of presentations, talking points, and information required.
Plan, prioritize, schedule, and confirm meetings and appointments.
Resolve scheduling conflicts.
Takes notes and/or minutes, transcribes, and distributes accordingly.
Independently prepare correspondence and formats/proof documents prepared for the Director’s signature.
Compose, prepare, and distribute correspondence, meeting notes, information, reports, and promotional materials.
Coordinate delivery of documents to various county divisions for signature or review.
Prepare presentation materials for use by others, edit content, and add appropriate graphic and design elements.
Review work done by others to check for correct spelling and grammar.
Organize, support, coordinate, and consult with the Director on agenda/egenda items, County Administrator assignments, Board assignments, Board inquiries, and special projects.
Regularly coordinates with County Administration and the Office of the County Attorney.
Assist in the coordination and preparation of the annual departmental budget.
Update and distribute documents including but not limited to department staff organization chart, email contact groups, etc.
Prepare reports using various data sources and technologies such as Smartsheet.
Manage, coordinate, schedule, and track all Legal Service Requests and related meetings.
About the ScheduleWork Hours:
Full-Time, 40 hours per week.
Monday - Friday, 8:00 a.m. to 5:00 p.m. (no weekends!)
About YouMinimum Qualifications:
Associate's degree from an accredited college or university -AND- Four (4) to Six (6) years of clerical or administrative experience with some executive exposure.
-OR- Year-for-year experience may substitute for a college degree.
Valid Florida driver's license by date of hire.
Preferred Qualifications:
Related Professional Certification(s) highly desirable.
Knowledge of eGenda, OnBase, One Solution, SharePoint, LucidChart, GovMax, Workday, Clearpoint, Smartsheet, and Works (Bank of America) are a plus - all used regularly in this role.
Physical Demands: Employees in this role must occasionally lift and/or move up to 20 lbs.
