2025-02-19 11:59 PMCBC Sports is seeking a highly organized and resourceful Administrative Specialist to support our broadcast and management team as we prepare for the Milano Cortina 2026 Olympics. This role is crucial in ensuring the smooth and efficient operation of our team, allowing us to deliver exceptional coverage of the Olympic Games. A key requirement for this position is expertise in working with large, complex spreadsheet documents. Experience working in TV or media production is a strong asset.
About the Role
As the Administrative Specialist, you will be the central point of contact for a dynamic team, providing comprehensive administrative support. You will manage complex schedules, coordinate travel, prepare critical documents, and facilitate communication, all while maintaining meticulous attention to detail and a proactive approach to problem-solving. This role requires a self-starter with excellent communication skills, a passion for collaboration, and the ability to thrive in a fast-paced environment.
Responsibilities
As our Administrative Specialist, you’ll be the backbone of our team, ensuring smooth operations and contributing to the success of our Olympic coverage. Your responsibilities will include the following:
Provide comprehensive administrative support to the CBC Sports production and management team, including managing projects, handling administrative matters, and ensuring adherence to established procedures.
Analyze production and departmental needs to contribute to short and long-range planning, facilitating decisions related to facilities, resources, schedules, and procedures.
Conduct research, compile data, and create presentations, including statistical tables, charts, and graphs.
Proactively identify and implement solutions within established parameters, escalating complex issues to the appropriate level of authority.
Contribute to the planning process by analyzing requirements for facilities, resources, and personnel.
Develop and maintain efficient filing systems, activity logs, production books, and other information storage systems.
Accurately and promptly prepare, gather, receive, and enter documents and information into the appropriate systems.
Prepare written and visual materials, agendas, and minutes as required.
Organize and arrange meetings, conferences, and staff functions, including coordinating calendars across multiple time zones.
Manage the preparation, copying, and distribution of script changes and corrections, ensuring accuracy and timeliness.
Compile and manage expense reports.
Prepare and edit correspondence, communications, presentations, and other documents.
Coordinate travel arrangements and reports (flights, hotels, transportation, meeting coordination, etc.) for the management team.
Greet and interact with visitors.
Qualifications
University or college education, or 3+ years of experience performing administrative or coordination duties.
Proficiency in Google Suite and Microsoft Excel, with the ability to quickly learn other applications and internal CBC systems.
Excellent communication skills (written and verbal), with discretion, diplomacy, and professional tact.
Ability to manage multiple priorities, work under pressure, and meet deadlines.
Strong organizational skills and attention to detail.
Ability to handle confidential information with discretion.
Proactive problem-solving skills and initiative.
A collaborative mindset and strong relationship-building skills.
Assets
Experience working in a TV or media production environment.
General knowledge of CBC/Radio-Canada
