HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:
Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with special attention to detail, being organized, and multi-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant IV, your day-to-day responsibilities will include:
The Administrative Assistant IV candidate will provide direct administrative support to two executive level leaders, working independently with general review and guidance from the government point of contact.
The AA will also provide administrative support across the group as needed to 200+ officers
AA must have strong interpersonal skills to maintain productive working relationships with team and customers
Proactively interact with administrative peers inside the work group, within the larger office and with other internal and external partners
The AA will be required to support front office senior leadership
The AA must be able to lift 20-40 lbs. for the purpose of receiving office supply orders
There may be occasions for travel to other buildings where the group has offices
It is strongly desired that the candidate be proficient using sponsor's internal travel systems, supply ordering system, meeting reservation system, time and attendance system, correspondence and memo software and personnel access systems
Customer is willing to train on sponsor's internal messaging system and other databases that are specific to the job
AA must be proficient using Microsoft Office applications as follows: Basic proficiency with Microsoft Excel, PowerPoint, Word, Sponsor Procurement System and Sponsor Access Request system. Intermediate proficiency with Microsoft Outlook
As needed, serve as time and attendance keeper for all staff officers
Greet and/or escort office visitors and guests
As required, will submit visitor access requests for external visitors
Monitor the check-in/out procedures are completed for arriving and departing officers
Ensure shared drives and accesses are granted using system access and check-in/out databases
Maintains/updates the phone trees for the group
Serve as back-up vault custodian for the office in the absence of the primary vault custodian
Provide conference manager support for conference rooms via sponsor system and/or Microsoft Outlook calendars. Schedule the office all-hands meetings and off-site conferences for the group
Rotate with the other group admins in picking up/distributing mail for the group
Screen phone calls for the two executive level leaders and for other senior leadership for the group
Deconflict meetings on calendars and alert seniors when these meetings are rescheduled or canceled (on a continuous basis throughout the workweek)
Liaison with other OGA's to schedule meetings with senior leadership for the group which also includes the VTC connection set-up
WHAT YOU'LL NEED TO SUCCEED:
The position requires an active TS/SCI with Polygraph security clearance
HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience
Schedule requirements: Work schedule is flexible, and ideally during core hours Monday to Friday 9:00am to 4:30pm
Proficient Word, Excel, Outlook, PowerPoint
Able to perform duties with minimal supervision and some team interaction
This position is on customer site

The likely salary range for this position is $132,964 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.Scheduled Weekly Hours:
