Administrative Supervisor
Position Summary This position will be responsible to provide an excellent and consistent level of administrative support to the Housekeeping Department. The Administration Supervisor is responsible to assist the efficient running of the Department while meeting department's objectivesPrimary Responsibility • Always study and keep in mind the most updated hotel promotions and special events. • Provides office paper works, filing and clerical support to the Housekeeping Department. • Distributes keys to Room Attendants and Housemen. Makes sure no key is allowed to be taken away without permission. • Control and maintain the mobile devices which include power recharge and request staff signatures of their in and out. • Whole day monitoring and observing the OPTii console in order to get the most updated information and gives instructions to the colleagues on floors. For instance, rush room or group assigned rooms. • Relieve Room Controller whilst who is day-off. • Receives instructions from Asst Exec Housekeeper and disseminate the work orders to the P.A. cleaners and Room Attendants. • Handle all internal calls and calls diverted from Call Centre. • Issue work orders through HotSOS to Engineering Department and coordinate with them in maintaining the defects and out of order rooms. • Maintains the office stocks at its sufficient level; issue stock requisition form to General Store when stock replenishment is needed; Takes inventory at the end of each month and generate relevant reports for statistics use. • Make record and pack the lost and found items and pass to Security or temporary store in Housekeeping office. • Daily calculating the mini-bar and make a general report to FandB Department. • Responsible for some of the H.R. administration work such as maintaining the rank and file personal files, applying for casual workers, and calculating their working hours and wages. • Performs other duties as assigned.Requirements • Degree/Diploma holder or comparable experience of similar capacity preferable. • Job Knowledge – understanding the industry and customers in order to create competitive advantage. Guest Focus, Innovation, Cultural Awareness, Understanding the Business • Writing skills, ability to write reports • Fluency in English • Proficiency in Cantonese, with Mandarin is preferable Proficiency in Microsoft Office software: Word, Excel, PowerPoint, OperaPMS, OPTii Keeper and HotSOS
