Primary Purpose of the Organizational Unit CASA provides undergraduate advising to all first year majors in the College of Arts & Sciences; offers transfer and readmitted advising for all CAS majors during the Winter and Summer; facilitates advising among the 24 departments and programs of the College; coordinates faculty participation in all campus recruiting events for the College of Arts & Sciences; & reviews College Level Curriculum Modification Appeals Position Summary The Administrative Support Associate assists the Director and Associate Director by: coordinating office communication with students, families, faculty, staff, and all campus partners regarding academic policies, procedures, and practices; making accurate, effective referrals to other University offices when requested student help falls outside of CASA’s service scope; creating and reviewing student reports for advisor assignments within the College of Arts and Sciences; assessing all CASA student services and planning for changes needed in equipment, funding, space utilization, technology and human resources support. Minimum Qualifications HIGH SCHOOL DIPLOMA OR EQUIVALENCY; OR DEMONSTRATED POSSESSION OF THE COMPETENCIES NECESSARY TO PERFORM THE WORK. Additional Required Certifications, Licensures, and Certificates Preferred Qualifications Excellent communication skills; Excellent organizational skills. Excellent teamwork. Experience with Banner Student & Banner HR. Proficiency with Excel and WebFocus. Salary Grade Equivalency Key Responsibilities ________________________________________________________________________________________________________________________ Key Responsibility Coordinating Advising Support Essential Tasks Developing solutions for communication challenges, gaining approval from the advising team, and implementing change to support the advising mission of the office. Developing tracking systems for office responsibilities and projects, and coordinating steps to facilitate the office meeting all deadlines in a timely manner. Troubleshooting record maintenance challenges, recommending solutions and coordinating with advising team to implement solution. Assisting advisors with budget or financial submissions and purchasing needed supplies.
Key Responsibility Reports and Record Management Essential Tasks Compose, execute and organize reports to support accurate, efficient advisor assignment updates. Compose, execute and organize reports to support accurate, efficient email and texting campaigns for advisees. Expert use of Banner student to accurately and quickly respond to student requests for assistance. Maintaining and updating Department web page to support the advising team. Key Responsibility Maintaining, Reconciling, or Adjusting Financial Records Essential Tasks Managing all financial accounts. Complete all required hiring documents. Projecting budget needs for staffing and materials for annual budget requests. Preparing monthly account balances reports for Director and Associate Director. Key Responsibility Facilitating Effective Transitions to Department Advising Essential Tasks Researching and implementing effective policies and procedures that could be helpful for our student population. Working with other units on campus to improve the student’s experience as they transition from one office or service to the next. Maintain excellent lines of communication with CAS Departmental Advising leads and Directors of UG Study to facilitate seamless student transitions. Creating, distributing, and analyzing surveys to gain information on effectiveness of advising and transition strategies. Key Responsibility Providing Policy or Procedural Information to Students Essential Tasks Explaining policy and procedures related to class scheduling, degree eligibility, enrollment in classes. Providing factual and procedural information about program qualifications, course prerequisites, scholarships available in-house, academic progression requirements, and related concerns. Referring students to other resources to include career services, Student Affairs, The Division of Student Success, University Registrars Office, Admissions, Financial Aid, advising offices in the professional schools, Office of Accessibility Resources and all academic departments at UNCG.
