This position ensures the smooth day-to-day functioning of the department office by overseeing financial transactions, coordinating personnel processes, maintaining academic and compliance records, and managing communications with internal and external stakeholders. The role requires discretion, excellent organizational and communication skills, and the ability to work independently while handling complex administrative and operational tasks.
The coordinator is a key resource for faculty, students, and university partners, providing proactive problem-solving, data management, and event coordination to advance the department’s mission and strategic goals.
Minimum Qualifications A high school diploma or GED and two years (full-time) of related work experience,
OR two years of post-secondary education and one year (full-time) of related experience,
OR a bachelor’s degree in a related field. Demonstrated proficiency with Microsoft Office and the ability to learn complex software systems such as Banner, Chrome River, WrightBuy, and Cognos. Strong written and verbal communication skills. Experience in financial tracking, scheduling, and general administrative operations. Ability to calculate basic math, prepare financial summaries, and manage multiple priorities. Sound judgment, discretion with sensitive information, and the ability to work independently.
Preferred Qualifications Experience in an academic or higher education setting. Demonstrated interpersonal skills and ability to work with people from diverse backgrounds. Familiarity with student support services, compliance processes, and licensure documentation. Event or project management experience.
Essential Functions and percent of time: 40% – Administrative Operations and Faculty Support
Coordinate the daily operations of the department, managing scheduling, communications, and document flow. Support the Chair, faculty, and program directors by managing calendars, preparing agendas, organizing meetings, and drafting correspondence. Serve as the primary point of contact for students, faculty, staff, and community partners. Maintain physical and electronic records related to licensure, compliance, program data, and communications. Serve as the department’s liaison to university offices, including Facilities, CaTS, Registrar, Communications and Marketing, and Human Resources. Assist with scheduling, catalog updates, and syllabi tracking.
25% – Fiscal and Personnel Coordination
Initiate and process purchases, reimbursements, and travel authorizations in Chrome River and WrightBuy. Monitor and reconcile departmental budgets, including general operations, grants, and foundation accounts. Prepare financial reports and summaries for the Chair and College leadership. Initiate Electronic Personnel Action Forms (EPAFs) and process adjunct and overload contracts. Assist with onboarding new employees and ensure all processes comply with university policies. Plan and coordinate departmental events, including orientations, faculty retreats, advisory board meetings, and student recognition events. Coordinate logistics, including space reservations, catering, materials, communication, and registration tracking. Manage communications with students and external stakeholders related to events and initiatives. 10% – Data Management and Reporting
Maintain departmental databases and archives (student progress, licensure records, course documentation). Assist with preparing data and reports for program review, scholarship tracking, and strategic planning. Run PowerBI and Cognos reports to support data-informed decision-making. Update and maintain relevant sections of the department’s website and communications. 5% – Staff Oversight and Office Culture
Hire, train, and supervise student assistants or part-time staff. Provide operational guidance and onboarding support to new faculty and staff. Foster a professional, collaborative, and service-oriented office culture. Troubleshoot and resolve issues that arise in day-to-day operations using independent judgment.
5% – Other Duties as Assigned
Participate in college-level administrative support coordination efforts as needed.Represent the department in college-wide meetings or initiatives as requested. Non-Essential Functions and percent of time: Working Conditions Office environment.
