The Administrative Support Manager is responsible for managing the ‘back-office’ processes and assisting with the day-to day running of the UK organization. Responsibilities including assisting with local human resource queries and their resolution, preparation of materials for accounting and general administrative work to enable the smooth running of the UK organization. Works closely with the local Managing Director. This is a diverse role with many activities and responsibilities and requires an experienced self-starter with a ‘can-do’ attitude. Accountabilities: + Supports generalist HR requests, including ensuring business compliance with local/governmental rules and regulation – supports the Basel HR team as a local contact by providing information as needed + Collects and validates information from Genedata ltd personnel which populate into the corporate applications and processes (i.e Workday, timesafe etc) + Provides support to the Global accounting function on UK matters: e.g. Information supply regarding accounts payable, vendor invoices, local renewals of office leases etc. Acts as a point of contact into accounting function on these items in a timely manner and supports activities with local external accountants as required. + Assists regional sales teams with generation of agreements and reviews agreements for accuracy and consistency prior to customer or BU review. + Provides administrative support to a distributed team including room and event booking support, travel assistance and data collection. + Assists the travel and booking team as a UK resource (CWT user). + Ensures personnel compliance to specified business processes (i.e compliance/Code of Conduct training) and drives implementation of new processes across the UK as they arise. Local inventory management + Assists with the planning of in region meetings and events, including organizing facilities and event details involving menus, travel, and equipment. + Serves as point of contact for various internal projects: i.e. organizing data collection, ownership of implementation of new systems and processes for the UK organization. Knowledge, Skills and Experience: + BA or equivalent experience in a business-related field of study. + Working knowledge of business accounting and financial practices. + Experience working in start-up/SME environment, coupled with a good business sense + Adaptable and comfortable working across a variety of business tasks with a ‘can-do’ attitude. Independent judgement is required to plan, prioritize, and organize a competing and diversified workload. + Must be a self-starter and able to work independently, while participating as part of a team. + Solid understanding of MS-Office. + Strong written and verbal communication. + Excellent organizational skills. + Ability to maintain a high level of confidentiality. + Fluency in English.
