Administrator, Benefits and Leaves

Position Summary: 

Reporting to the Manager, the Benefits and Leave Administrator assists employees with understanding and completing their Benefits Enrollment in Workday and responds to various employee questions using Workday Help. Additionally, the Benefits and Leave Administrator is responsible for responding to Benefit vendor’s file verifications on a weekly basis.

The Benefits and Leaves Administrator also manages leave of absence,  documenting leave events, completing all documentation for carriers, educating employees and managers on leave practices and serving as liaison between employees, managers, the payroll team and leave of absence vendors. 

Primary Accountabilities: 

Analytical (50%)

Administer various employee benefit programs for US and Canada, such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), tuition reimbursement and wellness.

Assist employees with health, dental, life and other related benefit issues.

Respond to employee requests and maintain records in accordance with Workday processes and procedures to ensure enrollment data and premium deductions are accurate.

Responsible for maintaining documents on our communication platforms including but not limited to Benefit Brochures and Employee Communications. 

Efficiently managing Workday Inbox tasks by reviewing and approving changes to benefits including live events, annual enrollment, QMCSOs, and life claims, acts as the first level of escalation for employee questions or issues.

Performs verification and reconciliation tasks according to department checks and balances to maintain data integrity and prevent errors; verifies and corrects discrepancies.

Responsible for keeping new hire orientation and materials up to date. 

Coordinate and facilitate wellness workshops, seminars and events. 

Prepare and set up meetings designed to help employees obtain information and understand company benefits and other related incentive programs.

Manages the company wellness incentive program.

Administers all aspects of our leave programs - i.e., Family Medical Leave, Paid Parental Leave, Medical Leave, Military Leave (USERRA), Disability Leave, Personal Leave as well as leave without Pay benefit. Applies independent decision making while assisting in interpretation or clarification of certain Federal and state leave policies and regulations. Coordinates and organizes all medical leave information and ensures that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.

Maintain appropriate contact with all associates on leave and coordinate all aspects of a return to work.

Administer ADAAA requests, light duty and return to work by closely working with supervisors, HR and department heads. 

Meets regularly with HRBPs to review Leave of Absence claims’ status and develops strategies for resolution.

Works closely with the Compliance team to coordinate Leaves of Absence with Workers Compensation claims.

Works with Lead Benefits & Leaves Administrator to gather the data required for the vendors to prepare annual non-discrimination testing; analyzes results for accuracy and assists in corrective action if needed.

Collaborate with Finance teams on processing vendor invoices for payment; be accountable for escalation and resolution of all invoice discrepancies and delays

Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs.

Responsible for managing Fidelity communications by supporting weekly audit reports and making corrections as needed

Provide support on all compliance activities related to retirement and health and welfare plans. This includes plan audits and legal filings such as 5500s, Medicare D, ACA, PCORI and Annual Notices 

Operational (30%)

Demonstrate financial acumen by ensuring vendor invoices are aligned with existing vendor contracts

Assist in obtaining statistics and information in the renewal process of any health, life and retirement plans that benefit the company.

Responsible for the review of weekly vendor file reports and making necessary corrections.

Assist in completing benefits reporting requirements.

Maintain accurate records and documentation of associate participation and outcomes in wellness programs

Serves as primary contact for 401k plan administration and analytics. Includes plan interpretation, issue resolution for associates and systems, and implementation of technology and process improvements

Administrative (20%)

Respond to internal inquiries via telephone calls, voicemails, emails, and Workday Help

Perform special projects and other duties as assigned by management

Coordinate the development and implementation of the department SOPs  

Prepares and disseminates written communication related to the approval and denial of leaves

Deliver a positive benefits and wellness experience to employees

Required Qualifications:

Bachelor’s Degree preferred

2-5 years’ work experience; or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities needed to complete the major responsibilities/essential functions of the position

Expert knowledge of employee benefits and applicable laws

Solid knowledge of Workday

Proficient with Microsoft Office Suite, especially Excel or similar software

SHRM-CP or SHRM-SCP and CEBS professional designations, a plus

Ability to speak Spanish, highly desired
