REQ12008 Administrator, Property Services (Open)

POSITION SUMMARY:Administrator is responsible for providing administrative support to Senior Manager and management team of the division aiming principally in administrative duties and function to ensure the smooth running of the department. Ensure all Property Services Documentations and Records are kept up-to-date and properly stored in the assigned Server/Hard Drive/Backup system and/ or manual filing systems. He/she has to ensure all required information/documents (either hardcopies or softcopies) are only access and deliver to any staff members or outside parties who are being authorized for having such information/documents.

PRIMARY RESPONSIBILITIES:Setup and maintain up-to-date Property Services Staff Access authorizationActs as an Administrator/Scheduler and input, update and upkeep all records/files and ensure reports are generated and send to appropriate recipients within specified timeline, especially the fortnightly payroll reportsWork closely with HRP, HR systems team and IT team for effective management of all Application systemsAssist the Senior Manager, Property Services to update, input all required information/data in time and deliver reports to Managers for reviews on regular basicCoordinate with all Managers and Training Academic for all internal skills development and management courses. Provide a schedule for Property Services Training and retraining. Arrange with external training agencies for all approved external training programs including but not limit to Training, Conference, Symposium and ExhibitionAssist in the development and implementation of quality, training, health and safety, finance and administration applications, ensuring that the requirements of Managers are metAssist in general office administration to support operationsDocument, manage and maintain all operations materials, documents and recordsReview and update all operations manuals, P&P, SOP, Forms etc. to ensure quality standards are always maintainAssist in the ongoing development and implementation of Property Services P&P, SOP and Quality Control Documents. Update changes and amendments as instructedAny other duties & responsibilities requested & assigned from his/her supervisor/management from time to time to suit the latest business needsKEY PERFORMANCE INDICATORS:Minimum typing speed of 45 wpm is required.QUALIFICATIONS:Experience: Minimum 2 years working experience in handling general administration supports in hospitality industry or any Engineering firmEducation: Diploma or Advance Diploma in Accounting, General Management, Business Administration or equivalent professional trainingCandidates without related certificates but with solid experience will also be consideredSkills / Competencies:Good command in written and spoken English / Sinhala / TamilWorking knowledge in PC skills and use of all MS Office applications, including outlook and power point presentationAbility to lead the team to achieve goals/ objectivesExcellent interpersonal / presentation skills are required to communicate clear information with all levels of staff internally and externallyPositive “Can Do” Attitude and a great team playerIndependent and able to work with minimal supervisionAbility to work under pressure and meet deadlinesAbility to work on overtime when neededGood health, physically fit and excellence in personal grooming and presentation
