Summary

In this role, you will provide administrative support to the whole branch and will provide exceptional customer service. The successful candidate must have excellent communication and time management skills, while having the ability to multi-task in a fast-paced environment. This position requires an enthusiastic individual who presents a professional demeanor and a positive attitude. You are the link between paper information and computer data entry thus you should have great attention to detail.

This position is based out of our Acheson office. The regular work schedule is Monday through Friday, 8:00am to 4:30pm and could change based on operational requirements.

Specific Duties and Responsibilities

Receive courier shipments and incoming goods, and prepare outgoing shipments

Prepare purchase orders and assist with ordering supplies

Coordinate outgoing and incoming mail, faxes and couriers

Administer fuel cards as needed

Oversee contract and lease maintenance

Monitor, communicate and schedule training for employees

Liaise with HR and Health and Safety on all new hire orientations

Prepare and submit employee expenses

Support with sponsorships and PR cards

Complete data entry tasks quickly and with high accuracy

Responsible for the organization, entry and invoicing and monthly reconciliation

Maintain filing and archiving systems

Handle some non-routine tasks such as operating laser printers, fax machines, etc.

Support with billing and payroll as needed.

Handle special projects, as assigned.

General office duties as assigned

Other miscellaneous duties as required.

Education, Experience and Qualifications

A minimum of 3 years of administrative experience is preferred.

A Diploma or Certificate in Business Administration or equivalent would be an asset.

Proficient with Microsoft Office Products i.e. MS Office Word, and Excel.

Knowledge, Skills and Abilities

Excellent communication skills and the ability to work in a team environment

Outstanding attention to detail

Comfortable with multitasking and balancing various priorities (especially during month end)

Confidence and ability to work in a constant changing work environment

Excellent analytical and problem-solving skills
