What is the opportunity?
We have an exciting opportunity for an Administrator, with proven experience in private client wealth management administration, to join our London office on a permanent basis. The Administrator will play an integral role in daily administration for the office function by providing support to a large, client facing team.
You will be responsible for a variety of administrative duties ranging from processing client documentation to resolving day to day administrative queries directly with clients and third parties.
You will be a team player with excellent communication skills and a sharp eye for detail, who enjoys multi-tasking and problem-solving, adapts well to change and who thrives in a busy environment.
What will you do?
Provide wide-ranging, efficient administrative support to a client facing team, with a focus on freeing up capacity for the team’s Investment Managers and Assistants, to facilitate the team’s growth.
General administration to include (but not limited to):
Communicating (both in writing and verbally) with clients and third parties, such as solicitors, accountants, SIPP and Offshore bond providers and IFAsArranging mail merges (both via post and email)Booking Client Advice Review Calls and Meetings, sending out and processing Client Risk QuestionnairesPreparing and processing Client Advice Proposals and Client Advice Reviews in line with team process via Microsoft Teams, liaising internally with Business Standards Department to amend reviews where remediation requiredPreparation and processing of all direct, and agent, client documentation for individuals, trusts and corporate accounts to include account opening / closing, W8 Bens/W8-IMYs/Withholding Statements, Fee amendments, generating reports, tracking transfers in/out/internal via internal custody and settlement system (Avaloq), processing domestic and international payments, following the internal bereavement process, arranging ISA Subscriptions and ISA APS transfers, completing Large Receipt Forms, adding connections and bank details in Client Relationship Management system, recording and escalating operating events in line with company process, restructuring accounts to link/delink in internal systemsOverseeing and monitoring of transfers of assets/cash from other institutions via internal custody and settlement system and transfer dashboard
Maintaining accurate client records on Client Relationship Management system and team databases, resolving Change Logs, recording new business opportunities

What do you need to succeed?
Must-have
A proven track record of wide-ranging administrative experience in a Private Client Wealth Management Team is essential.A proven track record of excellent client service is essential.Experience of speaking to clients and third parties and resolving basic day-to-day queries is essential.Proven track record of building a clear understanding of all business areas and maintaining an effective network of strong working relationships with colleagues across the business is essential.Intermediate knowledge of Microsoft Word/Excel/Outlook is essential.Nice-to-have
The CISI Investment Operations CertificateExperience of writing Client Advice Reviews and Client Advice Proposals is preferred.Experience of using Client Engage, Avaloq, Eximius and Power BI would be an advantage.Experience of line management would be an advantage but not essential.What is in it for you?
