Achieve Exceptional Results: Provide excellent customer service at the reception desk, proactively ensure a safe environment, and work independently on special projects to achieve outstanding results.

Reception and Visitor Management:

Greet visitors, manage security passes and manage the reception desk. Handle incoming and outgoing post and couriers. Maintain kitchen supplies, stationery, and report any facility issues. Proactively monitor for hazards including regular site walk arounds and complete Fire Marshall and First Aid training. Health & Safety maintenance including keeping up to date with regulation, maintaining logs, DSE checks and employee support within the hub. Coordinate refreshments and lunches for visitors and manage meeting room bookings.

Administrative Support:

Maintain monthly reports, coordinate team meetings, and track expenses. Handle confidential information with complete confidentiality. Plan and coordinate events and meetings, ensuring a professional experience. Prepare and design PowerPoint presentations, correspondence, and newsletters. Manage calendar of Vice President Strategic Growth, issue reminders, and ensure timely completion of tasks. Work independently on special projects, creating project plans and timelines. Arrange business travel and assist with travel and expense reports. Maintain business continuity records and team distribution lists.

Additional Responsibilities:

Support audit tasks to ensure data integrity. Conduct company research and support data capture on sales targets. Promote internal programs and support community engagement initiatives. Research and monitor best practices for facility ESG reporting.

Who You Are:

Strong verbal and written communication skills. Attention to detail and excellent organization and planning skills. Ability to work independently, prioritize tasks, and foster collaboration. Ability to remain agile and calm under pressure.

Experience You Need:

Ability to handle sensitive and confidential materials. Proficiency with Microsoft 365, Excel, Teams, and PowerPoint. Knowledge or experience of facilities management is desirable but not essential, training will be provided.
