The Targeted Rural Underserved Track (TRUST) provides WWAMI (Washington, Wyoming, Alaska, Montana, Idaho) medical students with a continuous connection between underserved communities, medical education, and health professionals in the state. Throughout their four-year medical education, TRUST students have multiple opportunities to connect to a unique rural community and mentor that includes a 21-24 week clinical continuity experience during their third year of medical school. The UWSoM accepts approximately twelve students into the Montana TRUST program annually. The Program Operations Administrator, TRUST (Administrator), is responsible for the administration, management, and coordination of the TRUST medical education program administered by the Montana WWAMI Medical Education office. The Administrator represent UWSoM and Montana WWAMI/TRUST throughout the state of Montana, supporting students, preceptors, administrators, coordinators, legislators, and Assistant Deans for Montana. This position works under the MT WWAMI Clinical Deans and play an integral role in the scope and quality of services provided to the TRUST medical education program. The Administrator will also work collaboratively with the School of Medicine (SoM), Rural Programs Office, and the Montana WWAMI Foundations Office, to support students throughout their medical education training. This position requires a self-motivated person to accomplish the goals of the position, along with someone with discretion, independent judgment, and complex problem-solving skills. It will be necessary to learn the complexities of the Montana WWAMI, TRUST, RUOP, and WRITE programs, as well as how they integrate into the University of Washington School of Medicine (UWSoM) and Rural Programs (RPs). The Administrator will work closely with the Montana WWAMI Clinical Deans and Administrators of the Montana WWAMI Clinical Office, the Montana WWAMI Foundations Director and Coordinator, and the Rural Programs Office at UWSoM. Other key team players are WWAMI teaching sites (including administration, coordinators, preceptors), Office of Rural Health/Area Health Education Center (ORH/AHEC), PreMed Advisors, and potential applicants. **Position Complexities:** The decentralized structure of the WWAMI program and Montana TRUST presents specific programmatic complexities for the TRUST program in Montana. The Administrator will require an independent, self-motivated person to accomplish the goals of the position. The breadth and depth of this decentralized position requires the Administrator to have designated decision-making authority and a very clear understanding of the UWSoM curriculum, systems, and procedures. The ability to manage and prioritize between the functional areas of the school while being located on the Montana State University requires sensitivity to local medical education priorities while balancing the priorities, mission, and vision of the UWSoM. The ability to work independently and coordinate with people over geographic distances within the state of Montana, in Seattle, and across the WWAMI region is crucial. This position assists with the management, oversight and development of the TRUST Program/students in Montana. The following details some of the more challenging areas: Physical distance between the different functional areas complicates communication, hinders clear policy development, & makes teamwork challenging. The various differences between sites require more time and management. **Impact to the University:** The Administrator directly impacts the scope and quality of services provided to the TRUST medical education program administered by the WWAMI medical education program in the State of Montana. The administrator sets the tone, establishes policy and manages medical student curriculum and administrative details for students and clinical faculty who teach TRUST students in Montana. The administrator helps manage and troubleshoot the administration of the TRUST medical students in the areas of admissions, course offerings, new course development, orientation, regional conferences and other high level administrative activities. The Administrator is also responsible for building/maintaining relationships with the local medical community, hospitals, physicians, and administrators on behalf of the Montana WWAMI TRUST program and advocates for TRUST students and the TRUST program with these key stakeholders. This position makes essential & significant contributions in support of the University’s mission of education, public service & patient care. • As a representative of the UW, this position will be responsible for exhibiting the goals & demonstrating the standards of the School of Medicine to: the State of Montana and its medical community, to the WWAMI Program participants, local business leaders, medical & political representatives, allied health professionals, students, & the general public. • Generally, this position’s influence & impact on goals is fairly substantial due to the high levels of responsibility, knowledge & involvement required & utilized. • Decisions made by this position may result in a rapid response or delayed implementation—it will depend upon the complexity of the issue, the number of levels of review & the willingness or need to implement change. **DUTIES AND RESPONSIBILITIES** **Program Administration 75%** Oversee and manage program operations for Montana TRUST, working closely with the Assistant Deans regarding operating and administrative details. • Manage Montana WWAMI TRUST (Targeted Rural UnderServed Track) Program. This includes 12+ students yearly or a total of 48+ students in the program at any one time. • Determine new methods and policies to strengthen the Montana WWAMI TRUST program. • Direct and oversee the financial operations of the Montana WWAMI TRUST program by allocating, forecasting, implementing, and monitoring activities within the Montana WWAMI TRUST program. • Participate in on-site visits both with the Assistant Deans and individually, as appropriate, and independently respond to and address issues and questions concerning site logistics/concerns and quality of student experience. • Coordinate the placement of TRUST students at their Montana TRUST sites. • Manage and maintain Montana TRUST sites with regular communication with TRUST preceptors, clinic managers, hospital administration, community leaders, and others at TRUST sites. Regular visits to Montana TRUST sites to maintain and enhance the TRUST experience at these sites. • Direct supervision of the TRUST Program Operations Specialist, which includes delegating work, monitoring and managing performance. • Investigate and coordinate the development of new Montana TRUST/WRITE sites. • During the WRITE experience, assist the Montana WWAMI Clinical Deans at Montana WRITE sites; provide support and communication to WRITE students. • Participate in the WRITE placement interview process, as needed. • Direct the placement of students and oversee the RUOP experience in Montana, for Montana and other WWAMI-regional students, including site visits to ensure continued successful program implementation/administration and maintain relationships throughout the state. • Articulate the Montana WWAMI TRUST program vision, values and mission to the Montana medical education community, University of Washington faculty and staff, WWAMI partners and the public, in-person, in-writing and by telephone. • Exercise independent judgment, discretion, and confidentiality to advise Assistant Deans on student concerns and programmatic best practices. • Assessment of the Montana TRUST experience on an ongoing basis. • Coordinate pipeline programs for TRUST: o Work with establishing relationships and programs with Native/Tribal communities within Montana. o Work to increase under-represented groups within Montana into medicine. o Promote the TRUST program through presentations at university/college Pre-Med programs. o Collaborate with HOSA, MHA, AHEC/ORH, etc. to promote the TRUST program and Montana WWAMI to high school students. o Assist potential Montana WWAMI applicants with job-shadowing connections to meet 40-hour minimum shadowing requirement. • Process paperwork for student travel reimbursement: o PCP Travel o TRUST site travel (FSE, Integration weeks, RUOP) o Required TRUST travel, i.e. Leadership Retreat(s) o Conference travel – in-state, regional, national • Assist potential Montana WWAMI applicants with access to job-shadowing opportunities. • Recruitment/Placement Assistance – connect annually to provide former Montana WWAMI graduates connections to employment opportunities, as well as assist Montana WWAMI teaching sites with recruitment efforts. • Regular travel to MT TRUST/WRITE and RUOP sites. Travel to state, regional, national meetings as needed. Travel to Seattle for UWSoM meetings as needed • Tracking TRUST outcomes • Preparing marketing and education materials **Special Projects, Event Planning and Coordination 15%** • Lead, plan, schedule, and implement special projects related to TRUST programs which include but are not limited to: o Pre-Med Summit, rotating sites amongst Carroll College, MSU, and UM o Co-coordinating Montana WWAMI Admissions Week o TRUST Leadership Retreat (Montana and Coeur d’Alene), including integrating the former Rural Health topics into the Montana event. o Plan and coordinate the TRUST Journal Club and Osler’s Evenings at MSU-Bozeman o Faculty development meetings, including but not limited to the TRUST/WRITE Faculty Forum. • Collaborate with both the WWAMI Foundations program at MSU Bozeman and the TRUST/WRITE program/Rural Programs Office at the University of Washington School of Medicine to ensure a high-quality medical education experience for Montana WWAMI students. **Office Administration 10%** • Coordinate student travel arrangements for conference travel (lodging, registration, transportation, expense reimbursement). • Complete/prepare/compose reports, memos, letters, forms, correspondence, and PPT presentations for MT TRUST or RUOP events. • Manage supply ordering, inventory and receipt reconciliation in WorkDay Financials for the TRUST program office. • Gather/share data on returning providers/former students. **MINIMUM REQUIREMENTS** Bachelor’s degree in any field and a minimum of three years of relevant experience which may include upper-level program operations, administration, or management support. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** • Proven management skills and ability to prioritize tasks with shifting priorities. • Strong interpersonal skills to interact effectively with physicians, students, the WWAMI community and team members. • Computer proficiency with an emphasis on Microsoft Office products. • Discretion with confidential information. **DESIRED QUALIFICATIONS** • Experience in an allied medical field. • Experience with educational administration or in an academic setting working with faculty, students and staff. • Knowledge and appreciation of the variety of settings where students will be working in Montana, including rural and/or underserved environments. • Experience with travel bookings and meeting/event planning. **WORKING CONDITIONS** The position may require the employee to work beyond a normal work week (e.g. more than 40 hours a week) and intermittently requires evening and weekend time to host medical student events, participate in medical student programs, meet project deadlines, and/or attend meetings/site visits. • Overnight travel minimally once per month or more. • Multiple work-group areas result in numerous externally imposed deadlines & frequent need for an immediate response. • This position allows a high level of autonomy. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
