Carnegie Mellon University’s Tepper School of Business is searching for an Admissions Coordinator. This is an excellent opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by providing essential support by coordinating administrative and secretarial/clerical assistance for specific programs and projects. This position will work closely with the Admissions Leadership team to ensure that projects and/or programs are run smoothly. This position manages the front desk for the suite which includes both Masters Admissions and the Masters Career Center. This position may be the only support staff for a particular program or project area so an in-depth knowledge and understanding of the practices, policies, and procedures is critical. An ideal candidate will have exceptional interpersonal and communication skills, demonstrated through experience in roles such as front desk, client services, or hospitality services. They will be able to effectively greet visitors, answer inquiries, and provide a positive and welcoming experience for all. This role is a five day per week, in-person role.
Core responsibilities will include:
Serves as the initial point of contact for prospective students who contact the Admissions Office through telephone, email and walk-ins
Greets and welcomes all visitors to the office who have meetings/appointments with both the Masters Admissions and Masters Career teams.
Manages in-person experience during campus visit (e.g. class visits, lunch with students tours, and interviews) to ensure candidates have a positive experience
Determines appropriate action required for individuals and provides information about the program offerings and admissions policies or coordinates appointments with Admissions Officers as appropriate for candidates who are interested in a more in-depth conversation about masters programs offered by Tepper
Ensures that candidate information is captured in the Slate system
Assists with follow-up emails and calls with prospective students and applicants to support event and recruiting activities
Manages post-admission yield activities for incoming students to ensure an efficient onboarding process including original transcript receipt/confirmation, processes deposits and creates records in University database (S3) and Office of International Education portal
Process applications for MS in Product Management program during summer months
Performs office budget management duties including purchasing and reconciliation of financial transactions; coordinating contract and payment process for advertising purchases; filing materials and records; reconciling invoices, requesting/approving payment to outside vendors
Handles travel and campus visits for Admissions including transportation, hotel, and car rental reservations, conference registration, workshops, etc.

Qualifications:
High School or GED required; Associates or Bachelor’s degree preferred
3-5 years of administrative support or relevant work experience required
A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Sponsorship: Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over the sponsorship of an employment visa for this opportunity. Carnegie Mellon is not a qualifying employer for the STEM OPT benefit: only the 12-month OPT may be used to work at Carnegie Mellon.
Work Posture: This position is operating on a hybrid schedule, with an on-campus/in-office presence five days a week.
