This is a full-time permanent position.** The Advancement Services Officer (ASO) provides oversight of the day-to-day operations of the School of Public Health (SPH) Advancement team, including select administrative functions. They provide stewardship functions and act as the event lead for the SPH Advancement team. The ASO is often the first point of contact for existing and potential donors, including their family members, and serves as a liaison between SPH Advancement and other units and individuals at the University. This position reports to the Director of Philanthropy and works collaboratively with the SPH Advancement team, academic department leadership, staff, volunteers and campus partners. **What You Will Do:** **Donor Stewardship, Acknowledgement and Reporting (40%)** • Manage donor stewardship and recognition activities, including coordinating donor stewardship meetings, maintaining a tracking system for the Office of the Dean and department-level gift awards, gathering information on gift use, collaborating on fiscal stewardship and compliance, procuring thank you letters and crafting and disseminating donor impact reports. • Create and develop stewardship documents such as reports, presentations, project analyses and graphics. • Collaborate with the Advancement Team to streamline existing processes and policies, enhancing stewardship and the donor experience. • Serve as the primary liaison to the Central Advancement team regarding the Consolidated Endowment Fund reports, pledge payments and other stewardship projects. • Attend campus stewardship meetings. • Manage the gift processing and donor acknowledgment process, including thank-you letters, follow-up calls and donor impact reports. • Promptly communicate with academic and administrative directors of gifts to their area and monitor any outstanding gift pledges. • Report weekly gift activity to the Advancement team and monthly gift activity to departments. • Produce donor acknowledgement letters and assign follow-up phone calls. **Events Management (30%)** • Manage virtual and in-person SPH Advancement events, including an average of five major events per year (not including volunteer or smaller stewardship events). • Coordinate in-person event logistics, including securing venues, developing guest lists, creating invitations, managing event registration, arranging parking, transportation and security, set up and tear down, sourcing caterers and vendors and coordinating décor. • Manage annual event budget expenditures, negotiate vendor agreements and oversee budget tracking. Monitor and reconcile expenses. • Strategize and implement evaluation methods of special events, assessing fundraising outcomes, satisfaction levels and improvement opportunities. • Develop and prepare broad-based event reports, dashboards, proposals, and briefings. • Work with the SPH Marketing & Communications team and vendors to develop event related materials. • Attend campus event management meetings. **Advancement Services (20%)** • Partner with Advancement leadership in annual planning, maintaining a planning document tracking quarterly advancement activities. • Act as lead for Advancement data list pulls, creation of correspondence, and mailing logistics. • Utilize software programs to create mailing lists, conduct research, and prepare reports and presentations. • Oversee the project management of the production of Mosaic, SPH's external donor facing electronic newsletter. • Provide budget oversight, reconcile budgets and create projections or other fiscal reports as needed, including the management of Procurement card accounts for the team. • Maintain accurate, confidential SPH Advancement files and donor information in accordance with UW policies. • Update department and program level colleagues on new and amended agreement language and fund balances. • Coordinate ad-hoc projects, as needed, requested by the Associate Dean of Advancement. • Plan, assign and review the work of support staff and student workers. **Volunteer Management (10%)** • Serve as first point of contact to volunteers, answering questions and disseminating communications on behalf of the School and the Advancement team. • Manage logistics for the SPH Advisory Board, including coordinating meetings throughout the year. **Perform other duties as assigned.** **MINIMUM REQUIREMENTS** Bachelor’s degree and at least 2 years in events management, marketing/communications, advancement or progressively responsible administrative experience. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **What You Bring:** • Proven ability to successfully manage and prioritize multiple projects, deadlines and requests in a collaborative environment. • Strong interpersonal and customer service skills. • Ability to interact professionally with university students, faculty, staff, volunteers and the public. • Proven ability to plan, organize, staff and evaluate special events. • Excellent written and verbal communication skills and attention to detail. • Proficiency with Microsoft Office Suite. Experience working with Marketo, Cvent, Microsoft Publisher or Adobe InDesign, performing online research and reporting on findings. • Independent decision-making, strong attention to detail and ability to maintain confidentiality. • A commitment to diversity in all aspects of work. **What You Can Expect:** • Cubicle/open workspace environment which may result in additional or higher levels of noise and visual distractions. • Occasional evening and weekend hours, as necessary. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
