Job Title: Agreement Administrator
Department: Service Division
Reports to: Business Manager
GENERAL PURPOSE OF JOB:
Oversee accurate maintenance agreement record keeping and revenue generation. Assist maintenance team in their efforts to create and maintain strong customer relationships and add to the maintenance contract customer base. Assist in assuring timely completion of maintenance services.
PRIMARY DUTIES AND RESPONSIBILITIES:
Assist in scheduling maintenance visits Create new agreements Generate and assure accurate maintenance billings Generate PM service orders Generate renewal letters Interact with customers to obtain POs, answer billing questions, provide requested documentation, perform requested updates, etc. Interact with maintenance team and perform accurate agreement updates Interact with sales team and perform accurate agreement renewals Maintain accurate agreement file records Maintain accurate billing types Maintain accurate booking report Maintain accurate labor rates Maintain accurate maintenance equipment lists Maintain accurate master list records Maintain accurate revenue schedules Obtain and maintain maintenance purchase order numbers Perform agreement cancellations Process and maintain daily requested changes log Report on agreement length imbalances Report on agreement revenue imbalances Report on and resolve maintenance under-billings Report on monthly sales Report on renewal prices increase Report on skipped maintenance visits
SECONDARY DUTIES AND RESPONSIBILITIES:
Customer service representative Backup receptionist, as needed
EDUCATION AND EXPERIENCE
High School diploma or equivalent required Three or more years of office or administrative experience preferred Experience in a demanding service environment, construction industry, or an accounting background is a plus
REQUIRED SKILLS
Advanced Microsoft Excel ability required (Must be proficient in Macros, VLOOKUP, XLOOKUP, Charts, CONCATENATE, Conditional Formatting, Countif, Filter, Flash fill, Index match, PivotTables, Proper, Replace, Round, Sum) Advanced experience with Microsoft Word required (Must be proficient in Mail Merge)
