Alumni and Donor Relations Coordinator
Position Summary As a key member of the Broad College of Business Advancement Team, the Alumni and Donor Relations Coordinator is responsible for planning, producing, and marketing experiential events and related projects to inspire increased engagement with Broad College alumni and donors. This role requires a team player who communicates openly, collaborates effectively, and demonstrates trust in teammates’ abilities to complete their work. Additionally, the candidate should be open to new and innovative ideas, coachable, and committed to contributing to a healthy team environment. Duties and Responsibilities: 35% - Event Management: + Work collaboratively to conceptualize engaging in-person and virtual experiences in alignment with event strategy, audience objectives, and budget. + Oversee timeline development and milestone completion. + Manage event budgets and expenses, ensuring consistent updates throughout pre-production and adherence to billing expectations. + Coordinate with university administrators and faculty, internal team members, and external vendors by effectively communicating deadlines and tracking progress towards event objectives. 35% - Event Logistics and Execution: + Research potential experiences, resources, and venues for University Advancement events, conducting site visits when necessary. + Manage and direct external contractors and vendors involved in event production, negotiating prices, terms, and conditions of contracts and service agreements. + Participate in the physical setup, transport, and disassembly of event materials. + Review and finalize event materials and logistical details. + Prepare comprehensive event agenda, outlining related activities and schedules. + Confirm staffing assignments and duties. + Provide on-site support during event programming. + Conduct and analyze post-event evaluations to assess successes and identify opportunities for continual improvement. 30% - Event Marketing and Communications: + Partner closely with the Broad College Marketing & Communications team to develop marketing strategies for alumni and donor events. + Prepare event invitations, registration sites and lists, and update Broad College websites with alumni and donor event information. + Provide guidance to and share best practices and resources with Broad College departments and units hosting alumni events and conferences. + Coordinate with Development Officers and Alumni Engagement Professionals in the Broad College and across MSU to promote events and reach alumni and donors. Minimum Requirements Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a related field; one to three years of related and progressively more responsible or expansive work experience in the planning and production of institutional and/or fundraising events; contractor and vendor contract negotiations, and developing event budget reports; experience in a customer-service environment; and experience in database, spreadsheet, word processing and presentation software; or equivalent combination of education and experience.
