About the Role

To provide positive experiences and ensure the efficiency of the organization.

Roles and Responsibilities:

Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, and clean office environment.Provide administrative support to senior leaders, including email correspondence and generation.Plan, organize, and schedule company meetings in the office, meeting room booking managementReceive and distribute deliveries, assist with courier requests and correspondence.Manage petty cash expenses, including expense reports, invoices, incoming, scan documents and filing.Coordinates logistics for meetings, including room setup and catering.Maintain inventory of office and pantry supplies by checking stock to determine inventory levels, anticipating needed supplies, placing, and expediting orders for supplies, and verifying receipt of supplies monthly. Place special orders as needed.Process daily office car transportation and fleet management.Business cards and ID Cards ordering and printingResponsible for requesting Service Lift, Work Permit, Building Access Card and Aircon Extension align with Building Management Team.Coordinate domestic and international travel arrangements for employeesOther duties as assigned.

Minimum Job Requirements:

Bachelor’s Degree HolderMinimum 1 year of working experience as a Receptionist, Front Office Representative, or similar roleExcellent communication (verbal and written) and negotiation skillsProficiency in Microsoft Office SuiteHands-on experience with office equipment (e.g. fax machines and printers)Multitasking and time-management skills, with the ability to prioritize tasksCustomer service attitude/mindset
