Top global private equity firm is seeking a Temporary Assistant for a maternity leave coverage starting the beginning of February. The Assistant will provide administrative support to Executives and their team members on the Equities teams. Hours are 8:30am-6pm with flexibility for overtime as needed. In office Monday-Thursday with Friday work from home however must have flexibility to go in office if needed. Hourly rate is up to $45/hr.
Responsibilities:
Calendar management - daily management of scheduling & rescheduling appointments, communicating to attendees, exercising a flexible approach to changing schedules, ensuring appointments are metPrioritize conflicting needs; handle all matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressuresScreen incoming calls and greet guests in a professional and courteous mannerArrange complex travel plans and compose detailed itineraries, obtain necessary travel documents and visa coordinationSchedule and organize conferences and off-sites including all related logisticsPrepare agendas, memos and noticesCompose letters, memos and routine correspondence. Edit for accuracy and clarity of final copy; proofread for spelling, grammar, format and consistency and make the appropriate changesAllocate and process expenses for executives, including American Express and Out of Pocket expenses using SAP Concur systemUse US Mail, FedEx, and other services to send and track priority mail. Work with mailroom staff to send packagesProvide phone coverage and back up assistancePerform other ad hoc tasks as assigned and required
Qualifications:
Bachelor's Degree and 5+ years of administrative assistance experience or training, or equivalent combination of education and experienceAbility to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlinesAbility to switch gears easily and demonstrate flexibility in different coverage assignmentsStrong initiative and ownership of responsibilities - Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues and take appropriate actionExemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact and diplomacySuperb written and verbal communication skills. Strong attention to detail when composing and proofing materials requiredExperience supporting a group of executives in a corporate environment highly preferredTeam-oriented and collaborative attitude is a mustExtensive knowledge of Microsoft Outlook and proficient in Excel, Word and PowerPointWorking knowledge of office administrative procedures and operating standard office equipmentExperience in finance industry is a plus but not required A1402974NY-Temp_1736352093 To Apply for this Job Click Here
