Providing remote support to an Executive in the Allianz Group as a Personal Assistant.
What you do
Calendar & Inbox management for leadership, ensuring alignment with business priorities Scheduling, coordinating, and preparing for meetings, including high-level executive and leadership team meetings Sending reminders & standard communications on behalf of leadership Tracking and following up on key to-dos, action items, and strategic initiatives Preparing high-quality presentations, executive reports, and briefing materials for senior stakeholders Consolidating reports and preparing structured business summaries for leadership decision-making Coordinating executive-level events and international workshops, managing logistics, agenda setting, and participant coordination Active participation in key leadership events (stand-ups, board meetings, executive workshops, town halls, steering committees, etc.), including taking meeting minutes, preparing strategic presentations, and ensuring follow-up communication Monitoring and tracking key deliverables to support executive decision-making Managing complex business travel arrangements, including international travel, visas, and itinerary planning Handling confidential and sensitive information with professionalism and discretion Supporting budget tracking, expense reporting, and invoice approvals on behalf of senior leadership Coordinating cross-functional initiatives, ensuring smooth collaboration between senior leaders and teams Managing onboarding processes for internal and external team members, ensuring seamless integration Handling general administrative tasks & ad-hoc executive requests with a high level of autonomy
What you bring
Fluency in English (both written and verbal) is mandatory, with excellent communication skills Proven experience as a Personal Assistant, Executive Assistant, or Project Management Officer in a multinational environment, supporting senior leadership Proficiency in MS Office (Outlook, PowerPoint, Excel) and experience creating high-quality executive presentations and reports Proactive, hands-on mentality, taking ownership and responsibility for executive support tasks Exceptional organizational and multitasking skills, with the ability to manage competing priorities efficiently Strong coordination and communication skills, engaging effectively with internal and external stakeholders Ability to handle confidential and sensitive information with professionalism and discretion Experience with expense management, budget tracking, and invoice approvals is an advantage Problem-solving mindset, with the ability to anticipate executive needs and act accordingly Flexibility and adaptability, thriving in a fast-paced, evolving business environment
