Assistant Account Executive

We are seeking an Administrative Assistant for our Commercial Lines department located in our Melville office.

Job duties:

Schedule meetings and maintain the calendars for Executive Vice President of Commercial Lines (EVP CL). Must have the ability to independently decide what is scheduled, and when, based on priorities.Manage the process of submitting expenses on behalf of both the EVP CLJudge appropriately when and how to respond Submit expense reports, where applicableJudge appropriately for approving timesheets for hourly-waged employees on behalf of the EVP CLArrange seating and conference rooms for the CL Operations on occasionCoordinate travel arrangements and prepare itineraries with the ability to anticipate potential travel obstacles.Act as liaison between CL Team and IT.  Submit and monitor service tickets for shared inboxes, shared folders, addition/deletion of third-party vendors, etc.Track the implementation of PRISM meetings in assuring that the meetings are being scheduled on time throughout the region.Assist the EVP CL during acquisition by providing important documentation to insurance carriers of the sale to help transition into the HUB way.Assist the EVP CL in running and organizing reports in Microsoft Applications when requestedTo keep and maintain a current list of agency codes for each insurance carrier for multiple purposes.Compose professional correspondences.Coordinate key events; assist with planning.Handle multiple projects, as assigned by the EVP CL, and meet deadlines.Work on ad hoc assignments as needed.Work independently and within a team on special and ongoing projectsConfidentially, handle sensitive matters that may come up promptly and with discretion.

Qualifications:

Detail oriented with good mathematical and communication skillsGood typing skills and computer literacyAbility to work within designated time framesGood interpersonal skillsStrong computer skills; Excel & Word a mustApplied Epic Experience Preferred1-2 years’ experience

The expected pay range for this position is $32.96/hr to $43.18/hr and will be impacted by factors such as the successful candidate’s skills, experience, and work location, as well as the specific position’s business line, scope, and level.
