SUMMARY:
The Assistant Community Manager will support the routine and daily work of the Property Management office with a focus on leasing or marketing efforts and coordinating activities needed to make vacant units ready for lease. In addition, the Assistant Community Manager duties may include showing units, answering calls, filing documents, entering data into property management software, maintaining office and common areas, or other duties as assigned. Work may involve responsibility for office duties with little direct supervision, although work is subject to inspection while in progress or upon completion.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Maintain awareness and familiarity with campus, including coordinating daily property inspections.Adhere to all company policies, procedures, and personnel directives.Maintain familiarity with Fair Housing standards and ND Landlord Tenant Act, as well as Timber Trails or TTC employee policies and procedures.Operate management software, including Blue Moon Forms for online leasing and Rentec for property management or maintenance tracking and coordination.Be neat in appearance and answer the phone or receive office traffic pleasantly and professionally.Greet, show, and complete leasing process for prospective tenants.Support marketing efforts, including coordination of internal and external resources.Make calls to support local market surveys.Show units, take applications, and screen applicants.Prepare leases for Community Manager review and signature, process leases post signature, including scanning and filing of digital and hard copy records.Collect information as needed to support lease preparation.Support collection efforts and handling of delinquent accounts according to Community Manager direction.Filing, data entry, and support of tenant or financial records management.Adhere to all appropriate company accounting directives.Make daily bank deposits, use remote desktop deposit systems, and coordinate credit card payments according to Community Manager direction.Purchase office & maintenance supplies according to Community Manager Direction.Support access, communication, or other needs of outside contractors working on the property.Support campus move-ins and move-outs, according to Community Manager direction.Assist with maintaining campus key control, including J key system and campus mailbox keys.Report accidents and emergency situations to the Community Manager and TTC Corporate Office immediately.Coding of invoices for Community Manager approval.Participate in a standby emergency schedule for evening, weekend, and holiday coverage.Have a general knowledge of current property contract services.Keep the on-site office well organized; clean and clutter free, with any tenant or applicant personal information property stored.Deliver notices on campus and backfill office functions as needed.Coordinate and manage tenant appreciation and retention activities or events.Maintain open communication and good working rapport with the Community Director and other TTC staff.Maintain a valid driver’s license.
NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:

EDUCATION AND EXPERIENCE:
Must have a high school diploma or equivalent.Office work experience (preferred).
SUPERVISORY RESPONSIBILITIES:
As assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
Ability to understand and support the needs of multifamily property operation with limited direct supervision, although work may be subject to inspection while in process or upon completion.Ability to use common office productivity software (MS Office Suite), property management software (Blue Moon Forms and Rentec), and various banking or desktop deposit applications.Ability to follow administrative, clerical, and multifamily property operating policies or procedures.Ability to communicate effectively and work harmoniously with property management or TTC staff and the public.
PHYSICAL REQUIREMENTS:
Essential and marginal functions may require maintaining the physical condition necessary for bending, stooping, and sitting, walking, or standing for prolonged periods of time. On occasion there may be a need to move or lift moderate light items to 35 pounds. Near visual acuity to review written documentation; ability to hear and understand speech at normal room levels and on the telephone; manual dexterity to operate a telephone at times; lift horizontally and vertically.
WORK ENVIRONMENT:
This position requires working in vacant units, common areas, building office setting and occasional driving. There may be times that will require working out of doors in weather conditions prevalent at the time, including extreme heat or cold and rainy weather.
ADDITIONAL QUALIFYING FACTORS:
As a condition of employment, must pass a pre-employment drug screening, as well as have acceptable reference and background check results.
