Posting Number: 20244216S Position Title: Assistant Director, Graduate Programs and Fellowships Position Type: Staff Location: Villanova, PA Recruitment Type: Internal/External Applicants Work Schedule: full-time/12-months Avg Hours Week Department: 165- Office of U/G Research & Fellowships Position Summary: The Assistant Director, Graduate Programs and Fellowships (AD) reports to the Director of the Center for Research and Fellowships (CRF) and works closely with the rest of the CRF team. The AD is Team Lead and contact person for CRF graduate student programs, research funding, and a selection of nationally competitive scholarships and fellowships for graduate education. The AD is a significant collaborator for the student research publication Veritas: Villanova Research Journal. The AD assists with application processes, programming, and advising for applicants to graduate research, study, and fellowship opportunities. The AD also provides support for CRF’s portfolio of undergraduate research programs and the Presidential Scholars Program (PSP).

Duties and Responsibilities: Graduate Programs Develops and manages a new university-wide, graduate-level summer research funding program modeled after CRF’s existing Villanova Undergraduate Research Fellowship (VURF) Program. Develops and manages a new university-wide, graduate-level conference and research travel funding program modeled after CRF’s existing Conference/Research Travel Grant. Leads planning, promotion, and implementation of CRF Responsible Conduct of Research (RCR) programming for undergraduate and graduate student researchers, including coordinating two required annual training events. Promotes CRF and external research programs through workshops and information sessions. · Collaborates with campus stakeholders to support graduate student initiatives. Serves as liaison to the Center for Graduate Research and Education (Grad Center), CLAS Office of Graduate Studies, and the graduate-level administrative divisions of the other colleges. Serves as a member of the new university-wide Graduate Student Support Team. Maintains professional memberships and attends professional conferences.


Advising Nationally Competitive Awards: Advises Villanova students and alumni on applications for nationally competitive fellowships and scholarships and graduate programs. Nationally Competitive Awards: Leads outreach, advising, and implementation of application processes for the National Science Foundation Graduate Research Fellowship Program, Knight-Hennessy Scholars Program, and other national awards pertaining to graduate study. Supports Fulbright U.S. Student Program Study Grant applicants. Student Research: Advises Villanova students on applications for research programs (internal and external). Presidential Scholars Program: Provides regular professional development consultations for Presidential Scholars.
Support of Other CRF Activities Assists with planning, promotion, and implementation of annual Villanova Student Research Symposium. Assists with planning and logistics related to BIG EAST Student Research Symposium (March) and attends the event as a judge. As part of the CRF team, serves as a member of a Scholar Selection Committee and assists with Interview Program, Scholar Academy, and other PSP activities as needed. Serves as a member of the Presidential Scholars Program Professional Development Award committee and makes recommendations on awards on a monthly basis.
Villanova Undergraduate Research Journal Coordinates Veritas: Villanova Research Journal, Villanova’s undergraduate research journal, with the Team Lead for Undergraduate Research. Responds to questions about submission, editorial requirements, and process; ensures faculty research mentors are aware of policies and implications for student submissions. Manages the administrative component of the online content management system Open Journal Systems (OJS), working closely with Research Librarians. Leads the development of the journal, production of visuals, and dissemination strategies. Manages student editorial board and coordinates journal staff meetings.
Data Analysis & Administration Manages and updates information on CRF website. · Creates surveys and manages data collection and analysis. Completes room reservations, expense reports, other reports (including CRF annual report), budget spreadsheets.
Budgeting and Financial Management With the Director, assists with setting of budgetary goals, projecting needs, and tracking outcomes.
Performs additional duties and assists with special projects as assigned. Minimum Qualifications: Formal Education Master’s degree required; any discipline considered.


Work ExperienceAdvising experience, especially for nationally competitive scholarships and fellowships.
Work Skills (e.g., written and verbal communication skills) Superlative communication skills, especially in writing and editing. Experience in data collection and analysis.
Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area)Knowledge of student advising principles and procedures.
Equipment KnowledgeHighly competent with computer software: Microsoft Office (Word, Excel, and PowerPoint) and experience with academic software and content management systems.
