Job Description
SUMMARY:
Reporting to the Dean, College of Science and Mathematics, the Assistant Director, Operations and Analysis provides administrative support, with a focus on project management, personnel actions and records including student assistants, facilities, and development. The Assistant Director works with the Dean’s Office staff in the implementation of organizational development, plans, programs, and operations. This position serves as liaison between the Dean and a wide range of individuals and organizations both on and off-campus to advance the goals of the College.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Anticipate the needs of the Dean by staying ahead of potential issues, identifying priorities, and recognizing emerging challenges before they arise.
Take initiative in addressing tasks and responsibilities without needing direct instruction, ensuring smooth workflow and reducing the supervisor's workload.
Offer solutions and alternatives to potential problems, demonstrating foresight and a commitment to the team's success.
Plan, implement, and control general and special projects assigned by the Dean, ensuring timely completion and dissemination.
Perform special studies or investigations that require the analysis of sensitive data and make recommendations regarding appropriate action.
Organize stakeholders and actively monitor key projects, deadlines, and meetings, preparing materials and information in advance to prevent last-minute disruptions.
Conduct research, evaluate data, and prepare reports containing findings, conclusions and recommendations.
Coordinate the processing of staff, faculty and student personnel actions including hiring, appointment, reappointment, tenure, promotion, and performance reviews.
Assist with organizing resources for academic program delivery and facilities maintenance.
Establish and maintain strong liaisons and cooperative working relationships with faculty, staff, students, alumni, and the public to ensure that established goals are met and problems are resolved.
Work collaboratively, and as a team member, within the Office of the Dean and with other units throughout the University.
Maintain high confidentiality of information and interactions with internal/external constituents.
Attend and participate in departmental and university-wide meetings related to duties and responsibilities.
Serve on various committees, as assigned.
Perform other duties as assigned.

QUALIFICATIONS:
REQUIRED:
Master’s degree from an accredited college or university.
A minimum of three years of professional experience in an administrative and/or office management role with increased responsibilities in areas such as, budgeting, planning, organizing, staffing, and/or reporting in a higher education setting or comparable organization.
Proficiency with Microsoft Office (Excel, Word, PowerPoint) and Google Mail (or equivalent) for email and calendaring.
Excellent time management and creative problem-solving skills with demonstrated ability to manage multiple priorities and meet deadlines.
Strong interpersonal, written, and oral communication skills
Cultural competency with the ability to work well with faculty, staff and students from varied backgrounds and talents.
PREFERRED:
Experience working in an academic or non-profit organization, providing executive support for a department head, dean, or an executive at an equivalent level.
Ability to acquire comprehensive knowledge of college policies and procedures.
Demonstrated ability to coordinate meetings, events, and initiatives with colleagues in other executive- level offices and academic units.
An affinity for working in a dynamic, fast-paced environment.
Experience with project management software (e.g., Microsoft Project).
