About the Department

The Physical Sciences Division (PSD) has a rich history of advancing and defining new fields of discovery in the physical sciences and mathematics, and this tradition of innovation continues today. Our inquiry and impact spans from the edge of the observable universe to human-computer interaction, from biophysical materials science to the geologic record of seawater composition, from gravitational waves to geometric flows, and beyond. The division includes the academic departments of Astronomy and Astrophysics, Chemistry, Computer Science, Geophysical Sciences, Mathematics, Physics, and Statistics. In addition, PSD includes a number of interdisciplinary research institutes and centers, including the Enrico Fermi Institute, the James Franck Institute, and the Kavli Center for Cosmological Physics. Many of our scientists have joint appointments at the Fermi National Accelerator Laboratory and Argonne National Laboratory as well as joint affiliations with other Chicago-based research institutions such as the Toyota Technological Institute of Chicago, Adler Planetarium, The Museum of Science and Industry, and the Field Museum. Our students build connections with world-leading scientists, collaborate across disciplines, and enjoy the dynamic Chicago and University communities.


Job Summary

Reporting to the Director of Academic Affairs and Chief of Staff, the Assistant Director of Academic Affairs is chiefly responsible for postdoctoral researcher and visiting academic appointment and reappointment processes, including data entry, for the Physical Sciences Division (PSD).

Responsibilities

Manages all aspects of the appointment and reappointment processes for postdoctoral researcher and visiting academic ranks in PSD.

Reviews for accuracy and approves on behalf of the dean all postdoctoral researcher hires and reappointments.

Reviews for accuracy all visiting academic rank hires and reappointments, and works with the Deputy Dean for Academic Affairs to obtain approvals for visiting academic appointment cases.

Reviews visa requests for compliance with University policy and visa and tax laws, and makes independent judgement on case edits or additions, liaising with units on edits and additions, and the Provost’s Office, as needed, through case approval.

Responsible for addressing questions or issues related to postdoctoral researchers and visiting academics that may arise from faculty, unit administrators, or employees.

In consultation with the Dean’s Office, and Provost’s Office when appropriate, troubleshoots complex problems or concerns related to postdoctoral researchers and visiting academics.

Responsible for providing guidance, and solving problems related to, pay, benefits, leaves, and other related questions.

Responsible for Workday entries for all non-Chemistry postdoctoral researcher ranks, and visiting academic appointments, ensuring accuracy, and coordinates with the human resources team.

Assists in training new and existing unit staff on the requirements and processes for postdoctoral researcher and visiting academic appointments.

Advocates for the needs of PSD units to the Provost’s Office when exceptions are needed, including helping to develop and write the business case, in consultation with the Director.

Works on projects and implementation of plans for postdoctoral initiatives.

Identifies opportunities to streamline work and workflows.

Responsible for updating the academic affairs SharePoint site for postdoctoral researcher and visiting academic pages appropriately and in a timely manner.

Creates cases in Interfolio and uses the system through case completion as needed.

Maintains existing, and creates new, mechanisms for data collection and reporting on postdoctoral researcher and visiting academic ranks.

Cross-trains on other academic affairs work and serves as back-up to the Director of Academic Affairs and Chief of Staff and Associate Director of Academic Affairs as needed.

Understands, and stays up to date on, immigration rules and requirements that affect postdoctoral researchers and visiting academics and works with the Office of International Affairs and the Provost’s Office on immigration questions and needs.

Serves as a resource for program information. Resolves problems or questions referred by program staff, University administrators, or other contingencies.

Gathers and analyzes data for possible solutions for faculty-related issues. Writes reports and expands knowledge and experience in areas.

May process job postings for faculty and other academic appointments.

Performs other work as directed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:    

Bachelor’s degree.

Experience:  

Experience with academic appointments in a higher education environment.

Experience working with highly confidential information.

Experience with Office Suite, Workday, Interfolio, SharePoint and/or similar Human Resources Management software systems.
