The Assistant Director (AD) is a vital role in ensuring the persistence and sustainability of the Technology Management MBA (TMMBA) program, which operates entirely on a revenue-based model. Success in this role is essential for maintaining the program’s $3,000,000 annual revenue. With primary responsibility for recruiting and admissions, the AD is central to the program’s financial stability and growth. Reporting to the Senior Associate Director, the AD collaborates closely with the TMMBA team to oversee admissions and drive the program’s expansion. Additionally, this role has a student affairs function ensuring persistence and satisfaction of our current students.
The Assistant Director role is autonomous and strategically focused, overseeing the big picture impact of decisions on the program, school, and university. The AD will make strategic decisions and develop and institute policies that ensure alignment with the program’s overarching goals. This includes identifying opportunities to improve current processes and procedures, recommending changes, and collaborating with relevant departments to explore and implement feasible solutions. The role requires leveraging departmental data, benchmarking insights, and other research to inform decisions and provide well-founded recommendations.
**DUTIES AND RESPONSIBILITIES** **Admissions 30%**
• Own the TMMBA admissions process from start to finish. Responsible for launch and maintenance of the annual admissions cycle.
• Review applicant files, conduct admissions interviews, and make independent, holistic decisions regarding candidate selection.
• Design and oversee protocols for consistent application review, including deadline management, and equitable practices.
• Manage and maintain admissions process using Slate, Salesforce, and internal databases, ensuring confidentiality, accuracy, and compliance with data security protocols.
• Organize and streamline the inflow of application materials, leveraging automation and technical solutions in Slate and Salesforce to enhance process efficiency.
• Investigate and resolve admissions-related issues, ensuring prompt and effective communication with applicants regarding their status and materials.
• Collaborate with the UW Grad School and the Foster CRM team to define and communicate admissions-related customization and system requirements in Slate and Salesforce.
• Own an automated communication plan in Salesforce that ushers an applicant through each stage of the application process from application to new student enrollment. Revising annually.
**Recruiting 20%**
• Proactively recruit and nurture prospective students, demonstrating comprehensive knowledge of TMMBA and Foster School policies.
• Develop and execute a comprehensive email marketing strategy within Salesforce, leveraging behavioral data to optimize engagement.
• In Salesforce, track the progression of prospective students through the entire admissions funnel from initial interest to enrollment.
• Develop and support creative initiatives to ensure that prospects are moving through application phases.
• Design and deliver TMMBA information sessions, application workshops, panel discussions and other live recruiting events to successfully convey the value of the program to prospective students. Provide personalized guidance to prospective students on program structure, financial aid, curriculum, career services, and the application process via individual appointments, email, and phone.
• Be first point of contact, respond to emails and phone calls regarding the TMMBA program and the admissions process promptly, with a high degree of professionalism.
• Suggest and implement strategies to increase applications, aligning efforts with program goals and assessing their effectiveness.
**Student Onboarding 10%**
• Manage "new student portal" in SharePoint, including copywriting, HTML coding, and coordinating content with the TMMBA team and other Foster School departments.
• Guide newly admitted students through the extensive onboarding process from transcript verification to orientation.
• Design orientation programming. Collaborate with the TMMBA team to deliver an inspiring, first-impression experience for new students.
• Support Sr. Associate Director in planning the new student Welcome Reception.
**Marketing 5%**
• Execute a data-driven strategic marketing plan in collaboration with the Senior Associate Director, emphasizing measurable outcomes.
• Support digital communication strategy, including email and social media, to increase brand awareness and drive traffic to the department’s website, including writing, HTML coding, editing, and design of program publications. Ensure accuracy and quality of content.
• Create and manage marketing collateral (print) for prospective students, including copywriting, coordinating content with the TMMBA team, C2 and other Foster School departments.
• Monitor competitors and evaluate new recruiting opportunities, providing strategic recommendations on best practices.
• Ensure adherence to University and Foster School brand policies by collaborating with Foster Marketing and Communications.
**Data Analysis 5%**
• Analyze marketing data to evaluate the effectiveness of advertising, sponsorships, social media, email campaigns, web traffic, and events; implement data-driven adjustments to optimize strategies, in partnership with Foster Marketing and Communications.
• Conduct in-depth analyses of prospect, admissions, retention, and graduation data in collaboration with the Associate Director to inform program strategy. Demonstrate ROI for rankings and accreditation entities, and generate demographic, trend, and outcomes data.
• Measure the program’s effectiveness at each stage of the prospect funnel.
**Student Affairs 20%**
• Advise students on options for grade appeals, grade changes, and other UW processes, including on-leave, deferrals, and reinstatement. Develop and communicate with students on their options for retaking courses and communicate cross-program with all constituents to ensure a smooth experience.
• Provide personalized academic advising to current students, assisting with program requirements, elective course options, and degree progress.
• Administer the TMMBA Student Resource Portal in SharePoint, managing and overseeing its annual review and update process to ensure accurate and timely information.
• Provide initial counselling for other matters impacting student performance/persistence. Refer/escalate to faculty, program director, the Associate Dean for Masters Programs, or other Foster and UW administration on an as-needed basis.
• In collaboration with other team members, manage the International Study Tour vendor selection, programming, and student expectations while on the ground. International travel may be required.
• Determine and design an official academic calendar for each cohort.
• Verify and approve degree audit process and manage all grade-related student graduation requirements.
• Track student grades on a quarterly basis and generate grade reports for the Program Director. Create academic advisory letters as needed.
• Collaborate with the Foster School Centers like the Buerk Center and the Foster Library to promote additional learning opportunities for students.
• Import and maintain Trumba program calendar listings for current and prospective students.
**Program Support 10%**
• Plan and manage budgets of $50K for events annually, source materials and negotiate pricing with vendors, using independent discretion over funds.
• Build and maintain relationships with alumni, engaging them in program activities, speaker events, treks, recruiting efforts, and other UW and Foster School initiatives.
• Attend Salesforce governance and trailhead meetings; share best practices with the TMMBA team.
• Support non-Salesforce users by designing and implementing event promotions, confirmations and reminder emails in Salesforce for various TMMBA events.
• Support planning and attend student and alumni events as needed. Evenings and weekends expected.
• Track tasks and collaborate with peers in the project management tool, Asana or similar.
• Collaborate with third-party vendors, UW Creative Communications and Foster Marketing and Communications as needed.
• Collaborate with other Foster programs on best practices and effective strategies.
• In collaboration with Program leadership, identify, design, and implement data and process solutions to support strategic initiatives and operational improvements.
• Serve and participate on Foster and University committees as assigned or designated.
• Represent the program at UW Foster School events and other community business functions.
**Other duties as assigned**
• Provide guidance and support to students on navigating academic and professional goals.

**MINIMUM REQUIREMENTS**
Bachelor’s Degree in a relevant field and four years of experience in working with students and in a recruiting, admissions or marketing environment or equivalent education / experience.
**Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
• Experience required of working in an academic environment with direct experience in marketing higher-ed programs, event management and interacting with various stakeholders including, applicants, prospective students, current students, alumni, and cross-departmental personnel.
• Excellent written and oral communication and interpersonal skills.
• Compassionate and emotionally intelligent.
• Organized and self-directed. Responsible for independent decision making.
• Experience collecting and analyzing data in support of data-driven decision making.
• Must be flexible and able to easily pivot based on changing priorities.
• Competency in Excel, Word, PowerPoint, SharePoint, Microsoft Teams, and Zoom.
**DESIRED QUALIFICATIONS**
• Master’s degree in a relevant field and eight years of experience in working with students and in a recruiting, admissions or marketing environment or equivalent education / experience.
• Experience using Salesforce or other CRM system for managing and tracking leads.
• Experience working within a complex organizational structure and managing relationships across multiple departments and levels within an organization.
• Familiarity with working with a diverse adult student population.
• Understanding of holistic admissions processes.
• Experience with Asana, Slate, Canva and Tableau, desired.
