Assistant Facilities Manager

Position Description

JLL is seeking an Assistant Facilities Manager in Nashville, Tennessee to assist the Facility Manager in overseeing the delivery of services to operate and maintain a portfolio of properties . Your role will involve CMMS management, vendor management, schedule coordination, customer/client services, invoice management, and facility maintenance.

What this job involves:

Vendor Management:

Assist with vendor management for maintenance of janitorial, mechanical, electrical, plumbing, carpentry, critical systems, HVAC, and others defined within the portfolio of respective sites.

Monitor vendor performance and address any issues

Assist with vendor contract procurement process

Ensure vendor compliance with contract and insurance requirements

Health, Safety, and Risk Management:

Ensure compliance with health, safety, and environmental policies and procedures

Coordinate with Facility Manager to implement risk management practices

Coordination and Support:

.Assist with schedule coordination of vendor recurring/preventive maintenance services

Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption

Assist with ordering of office supplies, consumables, PPE, etc.

Work Order Management:

Monitor Corrigo dashboard metrics

Ensure work order delivery is achieving client KPI’s

Management Tenant Request funding process

Oversee customer satisfaction survey results and follow up

Continuous review of open work orders, reporting and following up with engineering team on work order status to ensure each is addressed in a timely manner

Manage site-level invoicing and monitor budget variances

Client Relationship Management:

Proactively develop and manage client relationships ensuring that expected service levels are achieved.

Actively support an environment of teamwork, co-operation, performance excellence and personal success.

Comply with contractual requirements and exceed key performance indicators

Financial Management:

Finance Management / Cost Control / Profitability

Manage vendor purchase orders, invoices, and payments

Assist the Facility Manager to achieve or exceed financial targets and key performance indicators.

Assist with the annual budgeting and quarterly forecasting processes for the site/s as well as prepare monthly spend reports (actual vs. budget, variance etc.), as requested.

Help to develop and approve the annual capital plan for each building, as requested

Qualifications:

Associate or Bachelor's Degree or equivalent work experience in Facilities Management or Property Management required

Minimum of two (2) years of industry experience required either in the corporate environment or as a third-party service provider

Ability to prioritize tasks and manage multiple projects simultaneously

Strong leadership and relationship building skills

Strong interpersonal skills and problem-solving ability

Excellent verbal/written communication and presentation skills

Proven record of providing excellent internal and external customer service

Strong knowledge of Microsoft Office products such as Office, Outlook, Excel, etc.

Proficient in using facilities management software and Microsoft Office suite
