We are looking for an Assistant (m/f/d) who is organized, proactive, and detail-oriented to join us in our Administrative team, based in our HQ office in Brussels, Belgium.

 

About the role

You will be working in a team that supports our managers by optimizing their efficiency, developing best practices, and ensuring quality, efficiency, accuracy, and cost awareness. You will proactively anticipate the managers’ needs and possess a strong desire and enthusiasm to learn and understand the key issues they are managing.

You will be part of a dynamic team that collaborates closely with managers and other stakeholders. Our team values communication, efficiency, and a proactive approach to problem-solving. You will have the opportunity to build relationships crucial to the success of the organization.

 

What you’ll do

Provide administrative support to the manager’s leadership team.Manage an extremely active calendar of appointments.Complete expense reports and prepare confidential correspondence.Arrange complex travel plans, itineraries, and agendas.Plan, coordinate, and ensure the managers’ schedules are followed and respected.Communicate directly on behalf of the managers with peers and stakeholders.Research, prioritize, and follow up on incoming issues and concerns.

 

 

Interested? For this role we’re looking for the following education, experience, and skills:

Proven experience as an executive assistant or similar role.Excellent organizational and time-management skills.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite (Teams, OneDrive, SharePoint).Ability to handle confidential information with discretion.
