POSITION SUMMARY:
The Assistant Manager, Facility Contracts is responsible for the contracts and agreements coordination for the Business Units under the Group including but not limited to prepare the drafted contract documents, maintain the contract renewal on time and database up to date, prepare and gather the information for tender documents and comparison analysis of the contracts/agreements and projects for management review. Coordinate the site visit for the projects required and services.
PRIMARY RESPONSIBILITIES:
1. In charge of maintenance and coordination of the contracts under the Group compliance with the Policy and Procedure of the company.
2. Monitors both the expiration and renewal dates of all enterprise agreements and undertakes appropriate action to renew the expiring contracts and agreements whenever necessary with the related Business Units of the Group.
3. Assists to source and coordinate the alternative suppliers to have the other proposals and participant in the site visit with end user if necessary or when required.
4. Assists in preparing the tender documents for the services required including for contracts and services for the concerned Business Unit’s review.
5. Coordinates with Legal Affairs Department in drafting the agreements of the requirements from the business units and suppliers for management’s review.
6. Negotiates commercial terms and condition in the contract with vendor’s representatives and/or lawyers until consensus has been reached.
7. Facilitates the meeting for internal teams and suppliers.
8. Prepares the related internal documents for the contracts / agreements approval.
9. Updates the contracts and services checklist for proper monitoring and tracking.
10. Prepares announcement letters such as award or reject letter, and internal announcement letter.
11. Reviews supplier’s performance with Business Unit.
12. Tracks and reports contract and bid status including all cost savings benefits from the contracts.
13. Provides assistance on contract matters to Supply Chain team in contracting practices and procedures.
14. Performs other duties and responsibilities as may be assigned by immediate superior depending on business operation requirement.

QUALIFICATIONS:
I. Experience
At least two years working experience related to procurement or contracts
II. Education
Bachelor’s degree in Business, Legal or Supply Chain
