Assistant Manager HR & Project Coordination (m/f/d)

Purpose & Overall Relevance for the Organization:

Assist and support the Senior Manager Project Coordination and the team in planning, executing and tracking small- to medium-sized HR initiatives as well as communication tasks, administrative activities and event management.

Assist and support the HR SCM team in all undertaking HR related tasks to ensure quality service to the business globally.

 

Key Responsibilities:

Projects & Initiatives:

Support the roll-out of projects/HR initiatives and ensuring that deadlines are met, and objectives achieved. Working closely with involved superiors, team and involved departments to ensure the full scale and direction of each project on schedule. Manage the implementation and execution of defined project plans through effective coordination amongst the team.  Ensure consistent alignment of HR SCM activities across markets and countries in close coordination with local HR business partners. Contribute to the development and implementation of regular updates and presentations of assigned department projects/HR initiatives Support the team's initiatives in research, analysis and preparation as well as implementation and communication requirements per project/HR initiative. Collaborate with key stakeholders to support the development of HR strategy products and solutions and promote improvement actions. Carry out ad-hoc special projects and assignments as requested, ensuring accurate and reliable information is provided with an end-to-end perspective. Support and execute the People Strategy globally across SCM and assist in the implementation of People initiatives in the SCM 1-pager.

Team Support/Head Office:

Support the Senior Manager HR and the HR SCM Team in all relevant processes and requests for the HR SCM Head Office. This includes orchestrating the team drumbeat, managing the vacation schedule, and organizing internal and external meetings, appointments, and events. Responsibilities also include creating agendas, preparing documents and minutes, and ensuring necessary infrastructure is provided, as well as the follow-up of action steps in a timely manner and conducting follow-up discussions. Coordinate the team onboarding process, including hardware ordering, meeting coordination, and access to the Team SharePoint. Keep relevant information up to date for the HR SCM Team (e.g., org charts, job descriptions, Team SharePoint, signatures, onboarding deck, etc.). Manage order processes in the Ariba System (placing orders, creating shopping carts, maintaining supplier data, controlling and booking incoming orders, purchasing/supplier management). Fulfill ad hoc requests from the business and HR Team, including team support (ELS results analysis and actions, YE videos, anniversary celebrations, recognition nominations, etc.). Act as a credible counterpart for all Head Office roles within HR and the business, including HR Strategy, Talent and Rewards, HR Global Functions, and SCM Head Office. Prepare various communications and updates (e.g., Viva Engage articles, HR and SCM updates, town halls) to ensure the communication and dissemination of relevant information within HR and SCM. Support HR cyclical processes, including participation, TLU & PS outcomes analysis, succession planning, and critical roles review. Support the Head of HR SCM in coordination and execution of all travel arrangements including travel booking (hotel, flight ect.) and Travel Expense Management Support the Head of HR SCM in organizing and maintaining all relevant business meetings in close cooperation with business Assistants, the business and externals.

Reporting & Analysis:

Support the updating of monthly and quarterly HR KPI reports and monitor dashboards and analytical trends. Independently create and update lists and reports on a regular basis, including creation and updating reports in Power BI. Pull and prepare regular and ad hoc reports as requested by the team (e.g., DC Location Report, Grading Matrix, new hires, leavers, movers, TLU). Ensure high quality and proactively anticipate required adjustments.

Knowledge, Skills and Abilities:

Basic project management skills Strong SAP /OM knowledge preferred Power BI skills of advantage Preferably experience with Smartsheet Event management skills of advantage Ability to achieve project goals in a multi-cultural background Strong interpersonal and communication skills Ability to create, plan and deliver presentations Solid Microsoft PowerPoint and Excel skills Fluent in English (written and spoken)

 

Requisite Education and Experience / Minimum Qualifications:

Four-year college or university degree with focus on Business Administration, Human Resources, Project Management or related area, or equivalent combination of education and experience such as personnel specialist 1-2 years of related work experience
