Assistant Office Manager
Job Summary: The Assistant Office Manager performs administrative tasks in support of Employee Health clearances. Will initiate cyclical communication with candidates and HR staff, assuring that the health clearances are appropriately met. Responsible for direct supervision of front desk staff at both campuses and handles day-to-day front office of the Employee/Student Health Office. Answers main phone line and assists internal and external customers with a high level of customer service. Provides administrative support to the Office Manager. Responsible for the supervision, coordination, and direction of the clerical functions, including ensuring appropriate staffing, staff competency, mandatory training, performance evaluations, and timekeeping. Develops guidelines for work prioritization, evaluating effectiveness and modifying work activities of staff as needed. Acts as the first point of contact for resolving complex matters pertaining to office management such as provider scheduling conflicts, patient concerns, communication with office and EMR matters, and maintaining harmonious relationships with internal/external offices/facilities. The environment will be fast-paced and ever-changing, and this incumbent must perform the duties with a great deal of independence, self-motivation to run monthly reports autonomously, outstanding attention to detail, problem-solving, discretion, and foresight. Provide support for meetings, videoconferences, and other functions. Serves as the point person for all new hire candidates, Recruiters, and HR Onboarding Specialists. This incumbent must demonstrate excellent customer service, resourceful, highly dependable, efficient, strong interpersonal, computer, and organizational skills. Minimum Qualifications: Bachelor's degree and one year of relevant experience in a healthcare setting, or Associate's degree and three years of relevant experience in a healthcare setting OR an equivalent combination of education and experience required. Prior supervisory experience required. The ability to manage multiple priorities, demonstrate excellent communication, and organizational skills on a consistent basis is required. Must be proficient in Microsoft Word, Excel, and have strong computer skills. Preferred Qualifications: Experience with project management and process improvement within a healthcare environment is a plus. Strong working knowledge of medical terminology desired. (i.e., incumbent will be reviewing immunization records, medical history forms for completeness, and external physicals, when necessary, prior to entering the data into the individual's electronic medical record.)
