Position Summary

The Assistant Practice Administrator position is responsible for managing local initiatives as they pertain to human resources, business operations, business development, and marketing strategies, in conjunction with the corporate headquarters of EyeSouth Partners and the local Practice Administrator.

 

The position serves as a consultant to management of human resources - related issues, acts as an employee champion and change agent, assesses and anticipates HR and Operation related needs. The Assistant Practice Administrator maintains an effective level of business literacy about the practice's financial position, operational needs, culture, and it's competition.

Responsibilities

Practice Management

Works closely with practice administrator, management, and employees to improve work relationships, build morale, and increase productivity and retentionWorks with management team to develop short and long-term staff goals (including staff training, education, certification, protocols, scripts and development, customer service, media advertising, staff seminar and meeting planning, etc.)Attends conferences and networking opportunities as a representative of the companyOversees limited accounting and finance duties including but not limited to invoice assignment and approval, cash deposit reconciliation, and production goal calculationsMaintains and coordinates with local leadership on scheduling (doctor days tracking, PTO requests, etc.)Assists the Practice Administrator with building facility issues, filing, approval of timecards and mileage reimbursements, distribution of compliance modules, ensuring regulatory and compliance measures are met (including MIPS), provider credentialing, assisting in staff meetings, and serving as backup for all day-to-day onsite management activitiesIn conjunction with management, analyzes trends and metrics to develop solutions, programs, and policiesUnder the direction of the Regional HR and Practice Administrator, assists with complex employee relations issues, complaint investigations to reduce legal risks, and ensuring regulatory complianceProvides day-to-day performance management guidance to managers and staff (e.g. coaching, counseling, and career development) and consults with the Practice Administrator and Regional HR as neededCoordinates and assists leadership team with annual focal reviewsManages local employee personnel files and I-9 documentationServes as the local subject matter expert for SkyPrep, iCIMS, and UKG

Marketing 

Coordinates and assist in the placement of all printed, internet and scripted marketing materials and tools (brochures, newsletters, recall cards, advertisements, etc.)Oversees online reputation management / monitors all feedback for advertising campaigns via social media and review sitesKeeps referring physicians current on service offerings and provide accompanying marketing materials for their patientsPlans, organizes, and hosts patient and community eventsIntroduces new doctors and services to the public and medical communityDevelops and maintains relationships as liaison with local and surrounding media, civil organizations, clinics, and hospitals, always making sure to project the practice in a positive manner Qualifications

Education:

• Bachelor’s degree in healthcare management, human resources or related field required or the equivalent of years’ experience

 

Required Skills:

• 3-5 years healthcare/management experience; preferred in a multi-site practice

• Advanced computer skills including Microsoft Office; especially Word, Excel, and PowerPoint

• Strong organizational skills and superior attention to detail. Must be self-motivated with ability to manage multiple tasks/projects simultaneously within inflexible time frames

• Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external

• Strong ability to exercise sound judgment in responding to inquiries; understands when to route inquiries to next level

• Multi-State experience

• Industry related experience

• HRIS experience preferred (UKG/UltiPro a plus)
