Job Description
The position of Assistant Program Coordinator coordinates the Contractor Development And Bonding Program activities and is an operations position that performs daily administrative and operational tasks, contract compliance, and customer service. The Assistant Program Coordinator helps in compiling accurate program data, billing, contractor intake, meetings, contractor support and resources, among other special projects and events. The position is employed full-time and dedicated to the Regional Contractor Development and Bonding Program.
Job Requirements
Requires effective communication skills and the ability to provide assistance to employees, and the general public. Requires the ability to speak clearly, distinctly and effectively with fellow employees; read in English and compare similarities and differences between words and series of numbers; apply common sense understanding to the work process, procedures, programs and services; and to provide and follow verbal and written instructions. Team player and ability to work in a cross functional team environment.

Answering Phones Data Entry
New enrollment form info- inputting enrollment details into database for each contractor.
Verify certification status and upload record to database
Assign & Track Assigned Contractors
Monitor live prospects to ensure initial contact and follow up
Conduct quarterly Audits in database
Update California State License Board & Department of Internal Relations
Update contractors business information (Email, phone number, etc.)
FA 206 – work with Program Marketing Coordinator to manage calendar and event tracking database
Assist with event registration – Enter, update and manage
Request and File – Monthly Reports (Funds Control, Contractor Status Report, Principal Status Report, etc.)- work with Field Support Project Manager to input information into database and follow up with General Contractor or agency representative to clarify discrepancy
Reports – update and submit reports for billing (Task Sheet Reports/KPI reporting/Program Totals) and annual reports. Assist Account Manager with updating Contractor Profiles Meeting Agenda and Minutes – MM, Team, Bond Dept. Serve as team member on internal communication team (Employee Communication) LA Contractor Weekly (LACW) – formatting LACW content and material to be ready for publication and distribution Social Media- assist with social media efforts Expense Management, ensuring all program receipts and invoices are collected – (internal) Additional office support includes: Mailing, Check Mail, Floor Warden, Ordering Office Supplies Verify Program Resources and keep updated

Education:
Associate, Bachelors, Community Services; Public Administration; Public Affairs; Public Policy; Public Relations and Economic Development
Special Skills Wanted
Knowledge of sector(s) involved in public contracting and procurement (small business, community organizations, cities and government).
Knowledge of Diversity Equity & Inclusion principles and practices is a plus.
