NexGen is seeking an Assistant Project Manager, Processes and Document Control professional to join our team!

Qualifications

Bachelor’s degree in construction management, engineering, or related field from an accredited college or university required. 2+ years of experience required in project management with a focus on processes and documentation control, preferably in the construction industry. Familiarity with construction industry standards, regulations, and best practices.Proficiency in project management software such as Procore, and Monday.com.Proficiency in document control systems, and process improvement tools within Egnyte and SharePoint.Proficiency in Microsoft including excel, word, and PowerPoint. Strong organizational skills with exceptional attention to detail.Excellent communication and interpersonal skills.The new team member should be an energetic, self-motivated individual who enjoys a team environment, as well as a passion for collaboration and professional development. What we expect… (Essential Functions)

Process Management: Assist in the development, implementation, and optimization of Company processes through Project Management Methodologies for the whole of NexGen Contracting to enhance efficiency and ensure consistency across the company.Document Management: Establish and maintain a centralized documentation control system, ensuring that all project documents, including drawings, specifications, contracts, permits, and reports, are organized, categorized, and easily accessible.Receive, Organize and Upload information into Procore where needed.Control and Creation of Naming Conventions.Support the Creation of New Policy.Version Control: Monitor and manage document revisions, ensuring team members have access to the latest versions while maintaining a clear version history and tracking changes for reference.Collaboration: Work closely with project managers, engineers, architects, subcontractors, stakeholders, and Executive Leadership to facilitate process flow and documentation exchange. Provide support for process and document-related queries and requests.Training & Support: Provide training and support to team members on documentation processes, control systems, and project management tools.Quality Assurance: Ensure that all processes and documents comply with regulatory requirements and industry standards. Conduct periodic audit to verify process efficiency, document accuracy, and compliance. Set up Auditing Scheduling and Reporting for the System.Maintenance of the NexGen Playbook.Reporting: Generate regular and ad-hoc reports on process performance, document status, distribution, and changes. Communicate metrics to project stakeholders and provide feedback to leadership on process improvements.Provide Feedback to Executive Leadership for best practice of Document Control.Archiving & Retention: Establish and enforce document retention policies, ensuring compliance with legal and contractual requirements. Safely archive project documents upon project completion.Process Improvement: Identify areas for improvement in processes and documentation control systems. Propose and implement solutions to streamline operations and enhance project delivery.Coordinate and Manage the Outreach Initiative for the whole of NexGen Contracting according to the Outreach SOP.Other duties as assigned.

Generally, normal office environment where noise level is moderate and temperature/humidity is controlled. Overtime may be required.

 

Supervisory Responsibilities
