PRIMARY RESPONSIBILTIES:
The Assistant Registrar at Russell Sage College is responsible for maintaining the integrity and compliance of academic records, managing data analytics for course scheduling, and ensuring alignment with institutional policies and FERPA regulations. This role involves auditing student records, analyzing data to enhance workflows, supporting the implementation of best practices across registrar functions, and helping to enable the office of the registrar to evolve in keeping with Sage's direction and trends in higher education.
Responsibilities include but are not limited to:
+ Maintaining the official academic records of students within Russell Sage College inclusive of ensuring compliance with all issues of student privacy as mandated by FERPA.
+ Maintaining a thorough understanding of all college policies and procedures.
+ Managing and analyzing data related to course scheduling using Ellucian Colleague, Informer and CLSS, ensuring accuracy in course offerings and compliance with institutional policies.
+ Acquiring, modeling, and translating data from various systems to improve scheduling workflows and academic record-keeping processes.
+ Auditing course scheduling data and student records to ensure alignment with academic policies, accreditation standards, and institutional goals.
+ Supporting the design and implementation of best practices for processing various enrollment forms.
+ Collaborating across campus to develop and execute procedures to validate reports generated from the college's student information system and related applications.
+ Handling enrollment reporting to the National Student Clearinghouse to ensure accurate and timely submissions.
+ Managing communications, including coordinating and maintaining messaging related to registrar functions.
+ Conducting Colleague Patch testing and updates to ensure system functionality and data integrity.
+ Serve as required/requested on committees and/or planning groups.
+ Other duties as needed.
The estimated wage is $26.40 per hour for 37.5 hours per week for 52 weeks.
Job Requirements:
Qualified candidates will demonstrate:
+ Strong analytical skills with experience in academic scheduling systems, such as CLSS, and proficiency in data management tools.
+ Exceptional communication skills, with the ability to collaborate effectively with faculty, staff, and administration.
+ A balance of creative problem-solving, hands-on data analytics, and software integration expertise to support leadership in making strategic, data-driven decisions.
+ A commitment to high standards of excellence and adherence to data management and compliance best practices.
+ Outstanding interpersonal skills, attention to detail, and the ability to work under deadline and pressure.
+ Demonstrable knowledge of Microsoft Office products and Google workspace.
+ Direct experience and proficiency in Power BI, and/or Tableau. Experience working with relational databases.
Preferred qualifications:
+ Higher Education Experience.
+ Experience in a registrar's office or similar academic operations environment.
+ Knowledge of higher education systems, policies, and regulations, including FERPA.
+ Familiarity with student information systems (e.g., Ellucian/Colleague, Banner, Workday).
+ Informer reporting experience preferred.
+ Business Intelligence tools and visualization
+ Excellent writing and communication skills.
