Position Summary:
FAU Harbor Branch, located in Ft. Pierce, is a research institute focusing on marine science and oceanography with over 200 scientists, staff and students that work and study at the site.
Florida Atlantic University is seeking an Assistant to FAU HBOI Executive Leadership Team - Fort Pierce, FL.
The Assistant to the Harbor Branch Oceanographic Institute Executive Leadership Team (HBOI ELT) serves as the point of contact for the team. The Assistant provides strong and reliable support to all executive leadership operations, including a high level of confidentiality, and maintains and/or creates procedures/communications for effective operational flow.
This position will also support existing engagement and community relations programs at HBOI. Responsibilities may include such activities as supporting or serving as the lead in planning, organizing, and directing these activities for the institute/university, including public/social function activities.
Summary of Responsibilities:
Provide direct administrative support as needed, which may include scheduling appointments, meetings, and events.
Coordinate the day-to-day activities of the office as the first point of contact in the Executive Suite.
Plan collaboratively with institute administration and others to create an annual calendar of events/functions that support institute/university priorities.
Coordinate and process travel and purchases for executive staff, speakers, VIPs, and event-related activities as required. Process expense reports, travel authorizations, purchase orders/supplier invoices, etc., as needed.
Provide support or lead planning of HBOI institute events as directed by the Executive Director. Provide support for other meetings, events, and activities as needed.
Coordinate logistics (catering, meeting spaces, travel, etc.) for HBOI ELT meetings and events as needed.
Maintain the appearance of common areas in the Executive Suite.
Identify and fulfill office supply and office equipment needs.
Additional job-related duties as assigned.

Minimum Qualifications:
High School diploma and five years of appropriate work experience required.Valid Driver's License required.
Preferred Qualifications/Skills:
Experience with administrative support and related activities.
Salary:
