ASSISTANT TO THE DEAN - HUMANITIES AND SCIENCES
Job Summary: Provide administrative support to the Dean of the School of Humanities and Sciences. Provide direction and guidance regarding office policies and procedures. Serve as liaison with department chairs on various matters and as information source for faculty, staff, and students. Maintain and ensure the confidentiality of all office records and files. Coordinate and assist with special projects. Supervision: Reports to Dean Job Responsibilities: + Provide primary administrative support to the Dean to include preparing confidential correspondence, reports, contracts and other documents. Compile information and assist with reporting data as requested.; Answer telephone, email inquiries, and mail and redirect to appropriate departments or personnel as appropriate; make reservations for travel accommodations for the Dean. + Develop and maintain an effective working relationship with the department, campus community and with individuals having contact with the Dean's office. Serve as liaison for off-campus individuals and agencies in the resolution of routine concerns. + Coordinate development of School of Humanities & Sciences chair meeting agendas, distribute emails, and arrange for facilities, meals, and/or refreshments and other logistics. Attend chair meetings to record and distribute minutes. + Provide direct assistance to the Dean with the auditing and preparing analysis of faculty compensation and staffing levels. Develop and maintain a variety of spreadsheets and databases to track information. + Oversee and participate in preparation and maintenance of academic files, financial records, personnel files, contracts, proposals, and other significant documents. + Maintain and prepare appointment forms and additional payments for faculty. Develop and maintain a spreadsheet to provide merit calculations for faculty salaries and to monitor salary savings for the school. + Maintain all faculty personnel records for the School of Humanities and Sciences to include confidential faculty tenure and promotion files, 2-year, 4-year, mid-point, and reappointment review files; ensure confidentiality of all information contained within the files. Determine and track schedules for all faculty reviews and sabbatic leaves. + Serve as liaison with department chairs with regard to the hiring process for new faculty. Review guidelines; oversee the preparation of Waivers to Post, Online Recruitment Requests and Recommendations for Hire. In addition, work with department chairs to finalize new appointment forms and offer letters. + Manage office assignments for faculty and administrative assistants entering Ithaca College or returning from leaves, including notifying faculty of office assignments and communicating with department chairs regarding office space. + Offer website support for the H&S websites including departmental and dean sites using Drupal. Digital signage administrator for seven digital signs within H&S and is responsible for updating and removing digital content while using Ithaca College branding. H&S social media account support includes H&S Dean’s LinkedIn account, Instagram and Facebook. + Supervise H&S administrative assistants. Recruit, select and train administrative assistants and provide leadership and support to staff in setting goals for the year. + Conduct administrative performance evaluations and offer monthly check-ins. Manage administrative assistants' timecards, leaves of absences, and time off requests. Create summer administrative schedules ensuring administrative coverage of all departments within H&S. + Attend, participate in and help plan professional development meetings and organize bi-annual all staff meetings. + Work with department chairs regarding conflicts with administrative assistants. Qualifications: Associate's degree and a minimum of 3 years related office experience, excellent organizational, written and verbal communication skills, solid working knowledge of various word processing, spreadsheet and database software applications, ability to process sensitive and confidential information, previous experience maintaining and reconciling office and project budgets and good attention to detail are required. Previous experience working with on-line information systems, on-line corporate calendars and experience working in a college or university setting is preferred. Work Environment: Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent will be required to use a personal computer and associated equipment as well as other office equipment used in the day-to-day operations. The incumbent may need to deliver various materials on campus requiring the ability to walk or drive or make other travel arrangements. This position is 37.5 hours per week, 52 weeks per year.
