Assistant to the Vice President
Overview

Coordinates, manages, and preforms a wide variety of administrative duties to support the Vice President. Assists the Vice President with coordination and execution of tasks to meet the goals and objectives of the program / Agency. Works under moderate supervision.


Responsibilities
Plans, organizes and coordinates daily operations and administration of the office of the Vice President.Assists the Vice President with preparation of correspondence, data and drafting materials for presentations, reports, publications, etc.Serves as a liaison between VNSNY departments and program/region for follow up on issues related to educational programs, time management, health care compliance, uniforms, facility problems, equipment tracking of assigned items, etc.Assists in the development and monitoring of the budget for the region.  Processes bills and invoices, prepares check requests, assists with expense reporting and performs other aspects of a routine financial nature and keeps Vice President informed of status.A review, tracks, analyzes, summarizes and distributes regional data and reports. Completes assignments utilizing appropriate equipment and software packages.  Schedules meetings and events, arranges logistics and equipment needs, prepares and distributes meeting, notifications and invitations, establishes attendance list. Prepares agenda and materials for meetings. Takes and prepares minutes as needed. Follows up with participants to ensure assigned activities are completed within project deadlines and advises Vice President of status, as directed. Maintains calendar of activities of schedules, meetings, events, commitments and changes for the Vice President. Follows up on outstanding requests when necessary.Receives, opens, sorts and directs incoming mail and routes outgoing mail to the appropriate area for action. Prepares and sends mailings and packages.Answers and screens telephone calls, responds to inquiries from the community and within VNSNY, takes messages, routes calls and follows up, when appropriate.Orders and maintains inventory of department supplies and equipment. Calls for services or equipment repairs as necessary.Participates in special projects and performs other duties, as assigned.

For Hospice Only:

Assists onboarding of new employees including but not limited to ordering business cards, lab coats, etc. Assists with contract workflow by submitting templates to legal and following up for counter signatures when necessary.
Qualifications

Education:  Associate’s Degree in Business Administration, Office Management or related discipline required.  Bachelor’s Degree in Business Administration, Office Management or related discipline preferred.

Experience:  Minimum two years of progressively responsible office or business management experience, preferably in a health care setting required.  Proficient with personal computers including Microsoft Word, Excel, PowerPoint and Outlook required.    Accurate typing skills of 60 WPM required.  Effective oral, written and interpersonal communication and customer service skills required.
