What you will do:

The main objective is to support the daily smooth and professional operation of Bain’s front of house, which includes the reception area, client/internal meeting rooms and the break out area. As a result, you will have a friendly and professional manner, with a willingness and can-do attitude to perform your duties, direct enquiries and interact with clients and stakeholders within all levels of the business


Office Services:

Provide office support and be the Brisbane office point of contactMeet and greet guests in a friendly and professional mannerResponsible for Brisbane Reception calendar and inbox, plus calendar management for Brisbane meeting rooms including identifying and solving clashesUse daily checklist to ensure the office is organised and well stocked with necessary supplies, ensure all areas are ready for the day, i.e.:Reception area is always neat and tidy, adhering to Bain’s health and safety protocolsEnsure meeting rooms are always well maintained (i.e., clean, and ready for use, whiteboards clear, stocked with water/stationery, technology working)Kitchen area is clean and fridges, cupboards are stockedOrder stationery, kitchen, wellness, general office supplies and follow through with accounts procedures including support with invoice processingResponsible for all incoming and outgoing mail and arranging couriersLiaise with Building Management and other vendors to arrange office maintenance and equipment repair, tenancy issues and cleaningManage staff security cards and maintain spreadsheet to ensure complianceMaintain Brisbane Office intranet page and ensure content is up to dateOrder gifts as required in line with company policiesEvent coordination for office or team events and functions i.e., set up Brisbane based activities/events for recruiting, marketing, finance, ITOrganise catering for meetings and functions as requestedPhotocopying, printing, binding, and labelling as required


General Administration assistance (ad hoc)

Assisting other FP departments nationally with administration support when required. This will include tasks such as:Creating templates/invites Organising mail merge and mail outsDraft various office communicationsGeneral administrative tasks


Working Hours

Full Time: 8am - 5pm or 8:30am - 5:30pm Part Time: Hours to be negotiable. 


About you: 

The ideal candidate will have: 

•    Proven experience working in a professional environment in administration, reception, event organisation or similar

•    Passionate about customer service and keen to use your initiative  

•    Excellent communication skills, both in verbal and written

•    Ability to work independently and as part of a team

•    Enthusiastic and motivated, willing to listen and learn

•    A confident multi-tasker who conveys calm control when helping others

•    Familiar with basic office procedures and enjoy solving problems

•    Proficient with Microsoft office suite 

•    Keen interest in events and ability to manage multiple tasks and prioritise effectively  

•    Excited to work as part of a team that seek ways to continually improve our service
