Associate Administrative Assistant
Overview The Assoc Admin Assistant will maintain Redding office functions including mail/shipping, supply management, manage day to day receipt of checks, prepare bank deposits, manage and, update Cashier System and manage end of day reporting and proof of delivery process and other duties as they arise Responsibilities Provide administrative support to USM and location managers Ensure invoices are paid timely, accurately and with the proper approvals utilizing SAP, P-Card and Amex Create/Process Purchase Order Requisition in SAP – MyBuy Verify daily receipts of checks, and money orders against daily route delivery documents Utilize Bank of America CashPro for check deposits and deposit reports; prepare daily deposits for Armored Car pick-up Maintain FSV Coin Changer Fund process Maintain required logs Order and deposit funds are necessary Disburse and reconcile funds to FSV drivers Validate use of Funds with MEM move team and Delivery Supervisor Perform accurate count and recording of FSV (Full Service Vending) cash receipts using Coin Sorter and Currency Counter Identify Bank Adjustments including NSF and Deposit Adjustments and providing timely communication with Functional Teams for further action. Verify and account for all expected documents including Proof of Delivery, etc. Enter all daily receipts into SAP Settlement system Identify discrepancies and variances and Document all variances in SAP notes Maintain Cashier Workbook to support HQ Accounting Maintain Daily Route paperwork files Run and distribute all required End of Day reports to Functional Teams LOE – Local Order Entry for Sales Orders Ensure Free Goods process is executed according to policy and reconciled each period Accounts Receivable Support - E-Check, Arc Tree Cases, research and resolve AR discrepancies Frontline staffing functions: ADP Site Captain, I9 Verification, New Hire Orientation Misc payroll functions: Meal & Break report, Kronos badge distribution, attendance tracking/accruals Location Process Owner for Security Location Process Owner for Telecom Support Delivery team with Pepsi Direct CRS system to ensure all inquiries are resolved within 4 hours Maintain coupon process according to control guidelines Maintain calendars and schedules for S&D meetings/events Maintain organization charts and contact lists Maintain a high level of integrity and professionalism in handling confidential matters and materials. ERG communication Other duties and special projects as assigned Compensation & Benefits: The expected compensation range for this position is between $37,000 - $51,500 Location, confirmed job-related skills and experience will be considered in setting actual starting salary. Excellent data entry and clerical skills, including 10-key and computer keyboard skills, proficiency in using financial information system applications, basic math skills (addition, subtraction, multiplication, division), and ability to operate common office equipment (e.g., fax machine, photocopier, telephone).
