Associate Director, Administration and Operations Secretariat Food Collaborative

McGill is embarking on an ambitious collaboration with seven African organizations to support educational and entrepreneurial opportunities for sub-Saharan youth. This Collaborative will foster interdisciplinary collaboration between academia, industry, and policy makers to catalyze research, development and innovation and address structural disconnects between educational institutions and the workforce that contribute to unemployment.

Together, the Secretariat team (6-8 people in total) will serve as a facilitating hub for activity across all partner institutions. The Secretariat will likewise promote and reflect the shared Principles of Collaboration adopted by the Partner organizations (inclusive governance; diverse views make us stronger; partnerships, not projects; respect; equality and inclusion; commitment to those served by the Collaborative) in support of Collaborative programming and deliverables and in the operations of the Secretariat in support of the Collaborative.  

Position Summary:
Reporting to the Director of the Secretariat to the Nutrition and Sustainable Agri-food Collaborative, the Associate Director, Administration and Operations will be responsible for the operations of the Secretariat of the Nutrition and Sustainable Agri-Food Collaborative. Work with the Partner Institutions and McGill units, and external consulting firms, while actively prioritizing project management for timely deliverables. Maintain a consistent rapport with his/her counterpart at the Partner Institutions, the Associate Director will directly supervise a team of professional and administrative employees, some located in Ghana. He/she will play a strategic role in fostering a culture of fiscal responsibility and sustainability across Administration and Operations.

Primary Responsibilities:

Manage the administration and operations of the unit. Ensure and set short and long-term objectives for the unit, including project deadlines and deliverables.Directly supervise a team of professional and administrative staff including theCommunications Officer, Administrative Officer, Program Officer, and Learning Officer (some positions are based in Ghana)Work closely with the Associate Director, Finance and Reporting to track implementation, comply with policies and procedures, and ensure timely reporting by Partner Institutions.Collaborate with HR on hiring, set performance objectives for the team and deadlines. Assess and prepare performance dialogue probationary/trial period forms.Provide senior professional expertise and support the implementation of the Collaborative programs and initiatives especially Monitoring and Evaluating local activities, such as experiential learning, access to bursaries, job creation, entrepreneurship, and results from networking. Chair, co-chair or represent the Director in meetings, building and maintaining relationships with partner institutions and other key stakeholders as the Collaborative network expands as well as the funding organization.Cultivate relationships with Partner Institutions.Strategize and plan annual meeting in Ghana and reporting on progress, milestones, accomplishments and financial activity.Evaluate the deliverables of SOs and KPIs beyond financial reporting.Collaborate with McGill's Advancement team, Global engagement team to ensure effective stewardship and promotion of the Collaborative.Using senior professional expertise, create workflows within Secretariat and between Secretariat and partner institutions.

Other Qualifying Skills and/or Abilities:

Minimum undergraduate degreeMaximum 5 years' experience in a manager role, ideally in a University or Not-for-profit setting.Team building and leadership capacity; ability to lead and coach junior staff as well as to collaborate with and advise senior academic and administrative staff.  Excellent organization and time-management skills to meet deadlines.Strong spoken and written communication skills, with the ability to respond to critical issues with sensitivity and good judgment.  Exceptional attention to detail is required to prepare documents that are consistently of the highest quality in terms of content, format, and design. Demonstrated professionalism and discretion, and exceptional interpersonal and networking skills. Knowledge of McGill University policy and regulations is an asset.Ability to establish productive working relationships quickly with staff at all levels of the University. Ability to work independently when necessary and appropriate.Ability to analyze information, solve problems, and provide recommendations and solutions. Demonstrated proficiency with Microsoft Office 365 applications including Outlook, Word, Excel, PowerPoint, Teams, and OneNote.Knowledge of Minerva, McGill Marketplace (MMP), SharePoint and Workday is an asset.
